The Role:
A Dual-Impact Opportunity We are seeking a high-functioning Administrative & EMR Systems Coordinator . This is not a typical "front desk" job. It is a dual-impact role where you will manage the heartbeat of our office operations while serving as the technical bridge for our EMR (Electronic Medical Records) integration.
Pay:
$45,000/year to $75,000 based on performance. Key Responsibilities 1.
Clinical & Front Office Operations Intake & Discharge:
Manage all paperwork, ensure signatures are obtained/understood, and add new clients to the EMR.
UA Management:
Maintain urine screen schedules, assist with female client collections, notify teams of results, and manage lab send-offs.
Documentation:
Review/sign off on Guided Imagery notes, perform monthly file audits, and maintain the attendance roster.
Coordination:
Manage the "Med Chat," coordinate Family Night/Therapy sessions, and re-engage missing clients. 2.
Financial & Insurance Systems Revenue Cycle:
Run Verifications of Benefits (VOB), manage Medicaid/Private Insurance billing (Mondays), and prepare billing estimates (Tuesdays).
Payments:
Process payments through QuickBooks, track them accurately, and send authorizations/EOBs to the Billing Dept.
Purchasing:
Manage Amazon orders, facility supplies, and vendor deliveries. 3.
Technical Support & EMR Integration System Lead:
Serve as the internal point of contact for our EMR troubleshooting and system navigation.
Workflow Optimization:
Help staff navigate digital systems and improve administrative efficiency through tech.
Data Integrity:
Upload client documents and ensure all digital records are audit-ready daily. 4.
Facility & HR Support Liaison:
Act as the bridge between the Executive Director, clinical staff, and clients.
HR Admin:
Report new hires, complete E-Verify/Background screenings, and maintain employee HR records.
Hospitality:
Greet visitors, answer phones, and ensure the facility remains presentable (light cleaning/stocking) for random tours.
Qualifications Education:
High School Diploma (Required).
Certifications:
Current CPR/AED/First Aid Certificate (Required).
Tech-Fluent:
Advanced proficiency in Google Suite and data management. Experience with EMR systems (Kipu preferred) is a major plus.
Industry Experience:
1+ year working in therapeutic, residential, or recovery settings (Preferred).
