About Us We are a well-established and growing gastroenterology practice committed to delivering high-quality, patient-centered care. We are in an expansion phase and are seeking a highly motivated person to lead our team, optimize operations, strengthen revenue cycle performance, and help drive strategic growth. Position Overview The Office Manager will play a critical leadership role within the practice. This individual will oversee daily operations, manage staff, ensure strong collections and revenue integrity across all areas, and partner closely with the physicians to support growth and expansion initiatives. This role is ideal for a hands-on leader with strong operational, financial, and people-management skills who thrives in a fast-paced medical environment. Key Responsibilities Leadership & Team Management Oversee and manage front office, clinical support staff, and administrative teams Hire, train, mentor, and evaluate staff performance Foster a culture of accountability, efficiency, and excellent patient service Address workflow issues, staffing needs, and performance gaps proactively Revenue Cycle & Collections Oversee all aspects of collections, including front-end workflows, insurance verification, copays, deductibles, and follow-ups Monitor billing, coding, claims submission, denials, AR, and payment posting (in collaboration with billing team/vendor) Identify revenue leakage and implement systems to improve collections and cash flow Track KPIs such as days in AR, denial rates, collection percentages, and payer performance Operations & Compliance Ensure efficient day-to-day office operations and smooth patient flow Optimize scheduling templates and clinic utilization Maintain compliance with healthcare regulations, payer requirements, and internal policies Serve as the main point of contact for vendors, billing services, and external partners Growth & Expansion Partner with physicians to identify opportunities for practice growth and revenue expansion Support implementation of new services, programs, or locations Assist with process improvement initiatives to scale the practice efficiently Bring ideas and solutions to improve profitability while maintaining quality care Qualifications Minimum 3-5 years of experience as a medical office manager or similar leadership role (specialty practice preferred; GI experience a plus) Strong understanding of medical billing, collections, and revenue cycle management Proven ability to manage teams and hold staff accountable Experience driving operational improvements and practice growth Excellent organizational, communication, and leadership skills Comfortable working closely with physicians and ownership EMR and practice management system experience required What We Offer Competitive salary (commensurate with experience) Opportunity to play a key role in a growing, physician-led practice Collaborative leadership environment Long-term growth potential as the practice expands Experience Proven experience in office management or administrative roles within a professional environment Supervising experience is preferred, demonstrating leadership capabilities Familiarity with QuickBooks or similar accounting software is highly desirable Strong background in schedule management, calendar coordination, and vendor relations Prior work in medical office management or healthcare administration is a plus Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Strong communication skills both verbally and written; professional phone etiquette required Demonstrated ability to train & develop team members and manage office workflows efficiently
