Position Summary:
The Administrative Services Specialist will work primarily in the centralized Medical Records Department to process all requests for records and subpoenas. The Specialist will work independently and collaboratively with other administrative specialists within the department and the Medical Records Coordinator.
Core Duties and Responsibilities:
Process all requests for medical records and Subpoenas for all locations. Will be a liaison between the central Medical Records Department and clinics. Respond to all requests for lab results in an appropriate and timely manner. Review and upload Lab results as necessary. Provide coverage and support to the Medical Records team and other administrative departments as needed. Work closely with Medical Records Coordinator and General Counsel to respond to third party service providers requesting records or client information. Run, prepare and review reports as needed. Participate in the development and implementation of Administrative Services policies and procedures to meet County, State and Enki standards, in regards to medical records. Other essential functions pursuant to the needs of the Administrative Services Departments at Enki, under the direction of the supervisor. Comply with all Company policies and procedures as applicable. Other duties as assigned.
Minimum Education and Experience Preferred:
High school diploma or equivalent plus two (2) years' experience in a office setting. Minimum of two (2) years of experience working with Medical Records preferred. Be knowledgeable of HIPAA, DMH and Enki policies in regards to Medical Records preferred.
Licenses/Certifications:
Valid California driver's license, current automobile insurance, and eligibility to drive for the Company preferred.
Knowledge, Skills and Abilities:
Knowledgeable of medical records reporting requirements, legal aspects of medical records administration, use of electronic health record, HIPPA regulations and handling of subpoenas requests for records. Ability to perform in a positive, courteous, flexible and adaptive manner. Able to exercise independent judgment and initiative. Computer literate and experienced with computer programs such as Microsoft Office Word, Excel, and Outlook. Experience using an electronic health record is a plus. Must be able clearly to communicate, both orally and in writing. Possess excellent organizational skills, including, but not limited to, the ability to prioritize and complete multiple tasks.
Physical Requirements:

Speak and hear well enough (with or without assistive device) to converse in person and by telephone. Finger, handle, feel, and reach with hands and arms, including ability to use a computer keyboard. Have the mobility (with or without assistive device) to stand, sit, crouch, and move from one work area to another. Have the strength to lift, carry or push office equipment and supplies used in normal job functions up to 20 lbs. Stamina to effectively perform work activities.
