We are currently seeking an experienced, detail-oriented, organized, and bilingual (English/Spanish) Medical Records Clerk to join our Miami office. This position offers an excellent opportunity for someone looking to build a long-term career in healthcare administration. Position Summary As a Medical Records Clerk, you will be responsible for obtaining, organizing, and maintaining patient medical records while ensuring compliance with HIPAA regulations. You will communicate regularly with physician offices, hospitals, insurance companies, and our clinical staff to ensure complete and accurate documentation for patient care. Responsibilities Request and retrieve medical records from physician offices, hospitals, and other healthcare providers. Review records for completeness and follow up on missing documentation. Scan, upload, and organize patient records within the electronic medical record system. Securely send medical records to physicians, insurance companies, and other authorized providers in accordance with HIPAA regulations. Verify workflow tasks to ensure records are received and processed in a timely manner. Contact physician offices, hospitals, and other agencies to verify patient information when needed. Report discrepancies or missing information to the Medical Records Team Leader. Operate office software, scanners, and other office equipment. Assist with general administrative duties as assigned. General Requirements High school diploma or equivalent. Minimum 6 months of experience working in a medical office. Fluent in both English and Spanish. Familiarity with HCPCS and ICD-10 coding preferred. Valid driver's license and ability to pass a background check.
Skills / Qualifications
Proficient with computers and electronic medical record (EMR) systems. Experience scanning, organizing, and maintaining medical records. Strong organizational skills with exceptional attention to detail. Excellent verbal and written communication skills. Ability to manage multiple tasks while maintaining accuracy. Ability to maintain strict confidentiality and comply with HIPAA regulations. Ability to understand and follow written and verbal instructions. Ability to work independently and as part of a team. Physical Demands Ability to occasionally lift and carry up to 30 pounds. Ability to sit, stand, bend, and walk throughout the workday. Ability to organize, scan, file, and transport patient records and office supplies as needed.
