POSITION SUMMARY
The Holyoke VNA is looking to hire a Medical Records Specialist to work Full-Time. Some of the essential functions of this role include maintaining complete confidentiality regarding all information that pertains to the agency. Provide administrative and clerical support which includes but is not limited to: Coordinates daily functions within the medical records / medical supply area. Manages the securement of all physician orders.
This includes:
sending, retracting, chart attachment, follow-up with providers as needed, and reporting to leadership regarding delays. Manages the securement of all necessary consents to the patient chart.
This includes:
generating weekly reports (admissions, add-ons, discharges) for consent form accuracy, maintaining compliance tracking sheet, follow-up with clinicians for incomplete or missing consents, keeping managers informed of any consent issues. Covers for Medical Record Administrative Assistant as needed, including record requests, supply maintenance, admission booklets, and mailings. Assists with onsite chart audits by any regulatory agencies. Provides phone and customer service support. Attends all mandatory in-service meetings required by administration. Works collaboratively with all members of the clinical operations team (including nurses and therapists) to function as a cohesive and professional unit. Maintain regulatory forms and admission forms. Maintain effective working relationships with all departments. Will adhere to the agency policies, which includes the Corporate Responsibility Program. Communicates with customers in a competent, respectful manner to encourage positive attitudes about the agency. Assist and support other departments when needed Performs other duties as responsibilities necessitate as or as assigned.
