Job Description
We are seeking a dependable, organized, and detail-oriented Medical Records & Central Supply Coordinator to join our team. This dual-role position is responsible for maintaining accurate resident medical records while overseeing the ordering, receiving, inventory, and distribution of medical and facility supplies. The ideal candidate is organized, customer-service focused, and thrives in a fast-paced healthcare environment. Essential Responsibilities Medical Records Maintain complete, accurate, and confidential resident medical records in accordance with federal, state, and facility regulations. Prepare and organize admission, discharge, and transfer records. Audit resident charts for completeness and regulatory compliance. File and scan medical documents into the electronic medical record (EMR). Process requests for medical records while maintaining HIPAA compliance. Assist with physician orders and document management. Support clinical staff during surveys and audits. Maintain record retention and storage procedures. Central Supply Order, receive, stock, and distribute medical and nursing supplies. Maintain inventory levels to ensure departments have necessary supplies. Monitor usage and assist with cost-control initiatives. Organize storage areas and maintain clean, orderly supply rooms. Track backorders and communicate supply shortages to department leaders. Work with vendors to ensure timely deliveries. Assist with monthly inventory counts. Ensure supplies are stored according to infection control and safety standards. General Responsibilities Maintain confidentiality of resident information in accordance with HIPAA. Communicate effectively with nursing, therapy, administration, and other departments. Participate in facility meetings and in-service training as required. Perform other duties as assigned.
Qualifications Preferred Qualifications:
High school diploma or GED required. Previous experience in medical records, health information management, healthcare administration, or central supply preferred. Experience in a skilled nursing facility or long-term care setting preferred. Knowledge of HIPAA regulations. Strong computer skills and proficiency in Microsoft Office. Experience with electronic medical records (EMR) systems preferred. Excellent organizational and time management skills. Ability to prioritize multiple tasks in a fast-paced environment. Strong communication and customer service skills. Ability to lift up to 30 pounds and move supply boxes as needed.
