Medical Records Clerk

Overview Join our dynamic healthcare team as a Medical Records Clerk, where your attention to detail and organizational skills will play a vital role in maintaining accurate, compliant, and efficient medical documentation for personal injury patients. In this fast-paced position, you will manage and organize patient records, support billing and collections processes, and coordinate documentation related to Letters of Protection (LOPs), attorney requests, and medical liens. Your dedication will help facilitate seamless patient care, accurate case management, and the integrity of our medical information systems. Responsibilities Accurately file, retrieve, and organize patient medical records within electronic health record (EHR) and electronic medical record (EMR) systems Maintain and process documentation related to personal injury cases, including Letters of Protection (LOPs), attorney correspondence, medical liens, and records requests Coordinate with attorneys, insurance companies, and healthcare providers to ensure timely exchange of medical documentation and billing information Review and code medical documents using ICD-9, ICD-10, CPT, and DRG coding standards to support accurate billing and case management Assist with medical billing processes by verifying coding accuracy, supporting claims submission, and monitoring personal injury accounts Track and manage outstanding balances associated with LOPs and lien-based accounts while supporting medical collections efforts Prepare and submit itemized billing statements, medical records packets, and lien documentation for legal and insurance purposes Maintain confidentiality of all medical records in compliance with HIPAA regulations and organizational policies Collaborate with healthcare providers to clarify documentation discrepancies and ensure complete and accurate patient records Update and manage medical records databases, ensuring data integrity, accessibility, and timely documentation for authorized personnel Respond promptly to subpoenas, attorney requests, and records release authorizations in accordance with facility procedures and legal requirements Qualifications Prior experience working in a medical office, personal injury clinic, chiropractic office, orthopedic practice, or healthcare setting is preferred Experience handling Letters of Protection (LOPs), medical liens, attorney communication, or personal injury case documentation is highly desirable Proficiency with EMR/EHR systems and familiarity with medical terminology is essential Knowledge of

ICD-9, ICD-10, CPT

coding, DRG classifications, medical billing procedures, and collections processes is strongly preferred Strong understanding of medical records management, documentation standards, HIPAA compliance, and confidentiality requirements Familiarity with lien tracking, accounts receivable follow-up, and insurance verification processes is a plus Excellent organizational skills with the ability to prioritize tasks, manage deadlines, and handle high-volume documentation efficiently Strong written and verbal communication skills for professional interaction with attorneys, patients, insurance carriers, and healthcare providers Ability to work independently while collaborating effectively with healthcare and administrative teams Certification or training in medical coding, health information management, or medical billing is a plus

$18.00 - $25.00 per hour
