We are seeking an organized, detail-oriented Medical Records Technician to support the Delaware Army National Guard (DEARNG). In this role, you will be responsible for the end-to-end management of Soldier medical and dental records, ensuring strict compliance with military regulations and data security standards. You will maintain both physical and electronic health record systems, coordinate mobilization logistics, and support medical readiness events. The ideal candidate possesses strong administrative skills, thrives in a structured environment, and is comfortable utilizing multiple specialized electronic databases.
Key Responsibilities Core Records Management & System Administration System Updates:
Accurately input and update administrative data within military electronic health systems, including MHS Genesis, eCase, DENCLASS, and MEDPROS , adhering to strict timeline requirements.
Filing & Verification:
File medical and dental documentation into physical hard-copy folders and the electronic Health Readiness Record (HRR) . Physically or digitally stamp all documents to verify a successful upload.
Lifecycle Processing:
Create new medical records for new accessions upon receipt of enlistment orders. Process, track, and transition records for Soldiers scheduled for Basic Training, Schools, Transfers, Discharges, and Retirements.
Logistics & Case Tracking Mobilization Coordination:
Contact mobilization stations to prepare, package, securely ship, and track Service Treatment Records (STR) in compliance with Army regulations.
Active Case Reviews:
Participate in scheduled case review meetings, ensuring every open case is actively tracked and the Soldier is reviewed or contacted at least once every 90 days.
Information Requests:
Process formal Release of Information (ROI) requests securely and professionally.
Quality Assurance & Compliance Data Audits & Inventories:
Conduct comprehensive annual medical and dental record inventories. Pre-screen ("scrub") electronic data system modules prior to Medical Readiness Events (MREs) to ensure data integrity.
Discrepancy Tracking:
Perform rigorous quality assurance checks on all incoming medical/dental records, logging and tracking all discrepancies to closure on a monthly basis.
Information Security:
Safeguard all physical and electronic files from unauthorized access in accordance with
AR 40-66
, HIPAA, and Privacy Act guidelines. Disseminate data strictly on a "need-to-know" basis.
Qualifications Minimum Requirements:
Education:
High school diploma or equivalent.
Experience:
Minimum of two (2) years of professional administrative experience.
Technical Skills:
Proficiency in Microsoft Office Suite (MS Teams, Excel, Word, and Outlook).
Core Competencies:
Strong organizational skills, basic knowledge of standard office procedures, and the ability to interpret and execute general instructions.
Communication:
Strong written and oral communication skills. Self-starter, able to work under pressure to meet commitments while maintaining quality of work and effective interface Must be a US citizen Must be able to obtain a favorable completed National Agency Check and maintain clearance for duration of employment
Preferred Requirements:
Direct experience working in a medical, healthcare, or military administrative setting. Familiarity with Army Regulation ( AR 40-66 ) or military health readiness platforms (MEDPROS, MHS Genesis).
