8am to 5pm EST Monday through Friday The Health Information Retrieval Specialist is responsible for obtaining medical records and billing documentation, including records related to Durable Medical Equipment (DME) , on behalf of our clients. This role requires direct communication with healthcare providers, hospitals, clinics, and billing departments to ensure requests are received, processed, and fulfilled in a timely manner. This is a high-performance, execution-driven role —every order must move forward daily. Success in this position comes from persistence, ownership, and the ability to drive results through consistent follow-up. Responsibilities Contact hospitals, physician offices, clinics, and billing departments to request medical and billing records Retrieve documentation related to DME services, orders, and billing Perform consistent follow-up calls to confirm status and push requests forward Verify receipt of authorizations, record request, and required documentation Confirm processing timelines, fees, and delivery methods Work with billing records including HCFA 1500, itemized bills, radiology billing, ER physician billing, images and certification of records. Accurately document all activity and updates in internal systems Monitor assigned orders to ensure no delays or stagnation Identify issues, denials, or delays and escalate when needed Collaborate with Data Entry, Review, and Operations teams to drive completion Maintain strict compliance with HIPAA and PHI security standards What Success Looks Like Strong call activity with effective provider communication Persistent follow-up resulting in faster record turnaround Orders consistently progressing without delay Accurate and detailed documentation Proactive problem-solving and ownership Core Competencies Relentless follow-up and accountability Strong communication skills (verbal & written) High attention to detail Organization and time management Ability to multitask in a fast-paced environment Problem-solving mindset
Education & Experience Required:
1-2 years experience in: Medical records / HIM Healthcare administration Call center or customer service Record retrieval High School Diploma or equivalent
Preferred:
