Role:
The Unit Clerk plays a critical role in the smooth operation of a healthcare unit by managing administrative and clerical tasks that support medical staff and enhance patient care. This position serves as the communication hub between patients, healthcare providers, and other departments, ensuring accurate and timely information flow. The Unit Clerk is responsible for maintaining patient records, scheduling appointments, and coordinating admissions and discharges, which directly impacts the efficiency and quality of care delivered. By handling various documentation and logistical duties, the Unit Clerk allows clinical staff to focus more on patient care. Ultimately, this role contributes to a well-organized, responsive, and patient-centered healthcare environment.
Minimum Qualifications:
High school diploma or equivalent. Previous experience in a healthcare or administrative support role preferred. Basic knowledge of medical terminology and healthcare documentation. Proficiency with computer systems and electronic health records (EHR) software. Strong organizational and communication skills.
Preferred Qualifications:
Certification as a Unit Clerk or Medical Secretary. Experience working in a hospital or clinical setting. Familiarity with HIPAA regulations and patient confidentiality standards. Advanced proficiency in healthcare management software and Microsoft Office Suite. Ability to multitask effectively in a fast-paced environment.
Responsibilities:
Manage and maintain accurate patient records, including admission, transfer, and discharge documentation. Coordinate communication between healthcare providers, patients, and other hospital departments to facilitate smooth operations. Schedule patient appointments, tests, and procedures while ensuring proper documentation and follow-up. Answer phone calls, respond to inquiries, and direct communications appropriately within the unit. Prepare and distribute reports, forms, and correspondence related to patient care and unit activities. Assist with inventory management of office and medical supplies to ensure availability and proper stock levels. Support clinical staff by organizing patient charts and ensuring all necessary documentation is complete and accessible.

The Unit Clerk utilizes strong organizational skills daily to manage multiple administrative tasks efficiently, ensuring that patient information is accurate and accessible. Effective communication skills are essential for coordinating between medical staff, patients, and other departments, facilitating clear and timely information exchange. Proficiency with electronic health records and other healthcare software enables the Unit Clerk to document and retrieve patient data accurately, supporting clinical decision-making. Attention to detail is critical when handling sensitive patient information and preparing reports to maintain compliance with healthcare regulations. Additionally, multitasking and problem-solving skills help the Unit Clerk adapt to the dynamic environment of a healthcare unit, ensuring smooth operations and high-quality patient support.
