Job Description
Job Overview We are seeking a motivated and detail-oriented Medical Records Clerk/Receptionist to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional customer service while efficiently managing medical records and administrative tasks. Your energetic approach will ensure smooth clinic operations, uphold strict confidentiality standards, and support the overall quality of patient care. Responsibilities this will be a "Cross-Trained" job: Greet patients and visitors warmly, directing them appropriately and answering general inquiries with enthusiasm. Manage electronic health records (EMR/EHR systems) by accurately updating, filing, and retrieving patient information in compliance with healthcare privacy protection policies. Organize and maintain medical records in accordance with health information management standards and regulatory requirements. Ensure all documentation adheres to clinical confidentiality policies and health regulation policies, safeguarding patient privacy at all times. Support the clinical team by verifying insurance information, scheduling appointments, and coordinating patient flow efficiently. Check patients in and out efficiently. Collect co-pays and process patient payments. Maintain confidentiality while providing exceptional customer service. Be able to multi-task. Process incoming and outgoing medical records requests. Scan, upload, and accurately maintain electronic medical records. Maintain strict HIPAA compliance and patient confidentiality. Assist providers and clinical staff with records-related requests. Schedule referrals. Provide coverage for front office staff when needed. Work collaboratively with providers, nurses, and office staff. Help maintain and organized, efficient, and patient-focused environment. Requirements High school diploma or GED required. Previous medical office experience preferred but not required. Experience with electronic medical records (EMR) is a plus but not required. Strong computer and organizational skills. Proven experience working in a medical office environment or healthcare setting with familiarity in medical records management. Strong knowledge of health information regulatory compliance, including healthcare privacy laws such as HIPAA. Excellent customer service skills with a friendly, professional demeanor that fosters trust and rapport with patients and staff. Ability to handle sensitive information discreetly while managing multiple administrative tasks effectively. Competency in Microsoft Office applications for documentation, reporting, and communication purposes. Dependable, punctual, and willing to learn. Knowledge of HIPAA and patient confidentiality.
