This role is responsible for creating a welcoming and professional environment while managing patient check-in and check-out, scheduling appointments, verifying insurance, collecting payments, and assisting with administrative tasks that support efficient clinic operations. The Receptionist plays an important role in ensuring patients receive a compassionate and organized experience consistent with the mission and values of Divine Mercy Health Center. Key Responsibilities Patient Reception & Customer Service Greet patients and visitors in a courteous, respectful, and compassionate manner. Answer incoming phone calls and respond to patient inquiries or direct them to the appropriate staff member. Provide clear information regarding clinic services, appointments, and procedures. Maintain a professional and welcoming reception area. Bilingual capacity in Spanish and English required. Patient Check-In & Registration Register new patients and update demographic information for existing patients. Ensure required forms and documentation are completed accurately. Verify patient identity and confirm appointment details. Maintain confidentiality of patient information in accordance with HIPAA regulations. Appointment Scheduling Schedule, confirm, and reschedule patient appointments using the clinic's electronic health record (EHR) system. Provide appointment reminders when needed. Communicate scheduling changes to patients and clinical staff. Insurance Verification Verify patient insurance coverage and eligibility prior to appointments when possible. Enter insurance information accurately into the clinic system. Inform patients of insurance requirements and necessary documentation. Payment Collection Collect co-payments, membership fees, and outstanding balances according to clinic policy. Issue receipts and document payments accurately in the system. Direct patient billing questions to the appropriate department when necessary. Membership Support Assist with enrollment and renewal of the clinic's membership program. Provide patients with basic information regarding membership benefits and services. Ensure membership records are updated accurately in the system. Administrative Support Maintain organized patient records and front desk documentation. Assist with scanning, filing, and other clerical duties as needed. Coordinate communication between patients, providers, nursing staff, and administrative personnel. Support front office workflow to maintain efficient clinic operations. Qualifications Education High school diploma or equivalent required. Experience Previous customer service or receptionist experience preferred. Prior experience in a medical office or healthcare setting is a plus. Required Skills Excellent interpersonal and communication skills Strong customer service orientation Basic knowledge of medical office procedures preferred Ability to multitask in a fast-paced environment Strong attention to detail and organizational skills Proficiency in computers and electronic health record (EHR) systems Understanding of HIPAA and patient confidentiality practices Bilingual in Spanish and English Work Environment Primary care clinic setting with frequent interaction with patients and healthcare staff Requires extended periods of sitting, computer use, and phone communication May require handling multiple tasks simultaneously during busy clinic hours Mission Alignment The Receptionist contributes to the mission of Divine Mercy Health Center by ensuring every patient is welcomed with professionalism, respect, and compassion while supporting the efficient operation of the clinic's front office.
