Job Description

Front Office Receptionist Summary Performs general reception duties following the procedures listed for the check in and check out front desk. Customer service skills are of the utmost importance for this position and a bubbly, warm, inviting personality is a must! Principle Duties and Responsibilities Patient Flow Presents a professional appearance and demeanor and warmly greets patients. Properly checks patients in and out according to the guidelines listed in "Check In" and "Check Out" procedures. Verification and Demographics Oversees the updating of demographics, consents and recurring payment cards. Maintenance These duties will be split up and rotated from time to time: Assures lobby is kept tidy throughout the day by organizing magazines, stocking business cards, and marking material. Responsible for the cleanliness of the bathrooms and restocking of supplies if needed throughout the day. Patient follow up orders Responsible for working all front office orders specifically at the time of check out and for all providers according to the ordering guidelines. Assists in scheduling patients for recall visits based on the orders of the providers. Understands and follows the scheduling guidelines. Monitors no shows and cancels on the Master List and monitors order screen for past due orders that need to be scheduled. Billing and Collections Handles money, including collecting payments and past balances. Is able to document, order and collect monies from the sell of supplements, procedures, and/or certain "visit types". Documents accounts with comments if any discussion is held with the patient regarding payments. Records money paid (posts to account) and sets up recurring payments. Documents necessary information pertaining to the setup of recurring credit card payments. Reaffirms to patients of our non insurance policies. At patient's request, prints a transactions letter which indicates the patient's expenditures for insurance purposes. The following guidelines are designed to maintain control over moneys taken at check-out: It is the responsibility of the receptionist to balance prior to their shift ending. Balances all monies, including cash, checks, and credit cards. Medical Records Assists patients with medical release of records to and from our office. Completes request forms by obtaining fax numbers and phone numbers, as well as address where records are to be sent or obtained from. All forms must be signed by the patient and then witnessed with signature and date. All forms must be fully completed before giving to the medical records manager. Stays proficient in the scanning and routing of medical records. Scheduling Responsible for but not limited to scheduling/rescheduling/canceling patient visits, follow ups, lab testing, procedures and any other appointment books in the emr. Stays proficient and up to date in the different scheduling policies ex: different/new providers , visit types , etc… Triage Assists with patient inquiries regarding prescription re-fills, results, or medical records. Buzzes the appropriate manager to come to the reception desk and help the patient when/ if needed. Web Portal Participates in sending web portal invites and educates patients on how to register on our secure website. No shows and Cancellations This includes tagging in the emr and messaging the appropriate person when patients no show or do not schedule future appointments. Assists in call reminders when needed. Cross Training Cross trains in the back office department in order to provide coverage when needed and to be proficient in both departments. Meetings and Work Schedules Attends the staff meeting on the fourth Wednesday of the month. Attends the department meeting on the third Wednesday of the month with the Front Office and Scheduling Manager and staff. Flexible schedule is necessary since shifts will vary. May be asked or required to work an opening or closing shift during the week and may be asked or required to work on a Saturday. Always adheres to strict patient and corporate confidentiality. This is considered a front office position. Special Demands Typing - 40 wpm Microsoft Office Familiarity with computers, scanners, copiers and fax machines. Manual dexterity is necessary in the operation of office equipment. This work is of medium physical demand in the assisting of debilitated patients. Education High school graduate or GED. Two years experience in the medical health care profession. Continuing education of 8 hours yearly. Supervision Given and Received None given, but received directly from the Front Office Team Leader or the Front Office Manager. Promotion From and To From no formal line to Front Office Team Leader.
