In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your proactive approach and excellent communication skills will help create a positive environment for clients, visitors, and team members alike. Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring a positive first impression. Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette. Checking in patients for their surgery appointments. Manage appointment scheduling and calendar coordination for various physician offices. Handle data entry tasks accurately using spreadsheets, Microsoft Office applications, and other productivity software. Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents. Assist with office management duties such as supply inventory, mail distribution, and general clerical support. Support client communication efforts by providing timely information and responding to inquiries with professionalism. Skills Proven experience in office management or administrative support roles with strong organizational skills. Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), spreadsheets, and data entry. Familiarity with QuickBooks or similar accounting software is a plus for handling basic financial tasks and entering invoices into Quickbooks. Strong multi-tasking abilities with effective time management to prioritize responsibilities efficiently. Exceptional customer service skills combined with courteous phone communication and phone etiquette. Bilingual abilities are highly desirable to assist diverse client needs effectively. Demonstrated ability to handle clerical tasks such as filing, typing, and document processing accurately. The candidate must have healthcare experience, especially working in a clinic, ambulatory surgery center or hospital surgery department.
