Manage provider calendars, procedure blocks, and scheduling resources to maximize utilization and efficiency.
Handle cancellations, reschedules, and waitlists while maintaining continuity of patient care.
Contact patients to schedule procedures and confirm appointment details.
Provide pre-procedure and post-procedure instructions and answer scheduling-related questions.
Verify insurance eligibility, benefits, and coverage requirements.
Obtain and track prior authorizations and referral approvals.
Review provider orders and ensure all required documentation is complete.
Coordinate medical clearances, laboratory testing, and supporting documentation prior to procedures.
Maintain accurate patient records within the electronic health record system.
Prepare surgical and procedure packets and supporting documentation. Required QualificationsHigh School Diploma or GED required.
Minimum of one (1) year of healthcare scheduling, medical office, referral coordination, or related healthcare administrative experience.
Experience with insurance verification, referrals, and prior authorization processes.
Strong customer service and patient communication skills. Preferred QualificationsGastroenterology (GI), endoscopy, surgery scheduling, or specialty practice experience.
Experience scheduling colonoscopies, EGDs, or related procedures.
Experience with Epic electronic health record (EHR) system.
Knowledge of medical terminology and procedural workflows.
Experience coordinating anesthesia and facility scheduling.
Previous experience managing procedure blocks and provider schedules.
