Job Summary We are seeking a dynamic and detail-oriented Front Office Dental Administrative Assistant to join our vibrant dental practice. In this vital role, you will be the first point of contact for patients and visitors, ensuring a welcoming and professional environment. Your expertise in medical administrative support, patient service, and office management will help streamline daily operations, facilitate effective communication, and uphold the highest standards of clinical confidentiality. This position offers an exciting opportunity to contribute to a positive patient experience while utilizing your comprehensive knowledge of EMR systems, health insurance procedures, and dental clinic workflows. Responsibilities Greet patients warmly upon arrival, ensuring excellent customer service and efficient check-in/check-out processes. Manage appointment scheduling using dental practice management software and EMR/EHR systems such as Epic, Meditech, or eClinicalWorks. Verify patient insurance coverage, process medical collections, and handle billing inquiries with accuracy and professionalism. Maintain and update patient records in compliance with HIPAA regulations and clinical confidentiality policies. Review documentation for completeness, accuracy, and adherence to coding standards including
CPT, ICD-9/10
coding for billing purposes. Answer multi-line phone systems with proper phone etiquette; direct calls appropriately and take detailed messages as needed. Assist with medical records management, filing, data entry (including 10 key typing), and other clerical duties to support smooth office operations. Collaborate with clinical staff to coordinate care plans and ensure timely patient follow-up. Support health information management by reviewing documentation for accuracy and completeness in accordance with healthcare regulations. Utilize Microsoft Office tools for reporting, correspondence, and administrative documentation. Qualifications Proven experience in a dental or medical office environment with strong familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth or eClinicalWorks. Knowledge of health insurance procedures including Medicare, Medicaid, HIPAA compliance, CPT coding, ICD-9/10 coding, and medical billing processes. Excellent customer service skills coupled with professional phone etiquette and communication abilities. Strong computer skills including proficiency in Microsoft Office Suite; ability to learn new software quickly. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Prior clinic experience or dental office experience is preferred; familiarity with clinical confidentiality policies is essential. Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment. Demonstrated organizational skills in managing medical records, documentation review, filing systems, and electronic health records management.
