Job Overview We are seeking a highly organized and professional Front Desk Receptionist to be the first point of contact for our clients and visitors. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. This role requires proficiency in various office management tools and software, ensuring smooth operations at the front desk. Responsibilities Greet and assist clients and visitors in a courteous and professional manner. Manage multi-line phone systems, directing calls appropriately and taking messages when necessary. Perform data entry tasks accurately, maintaining up-to-date records in our systems. Handle filing and organization of documents to ensure easy retrieval. Provide customer support by addressing inquiries and resolving issues promptly. Assist with calendar management, scheduling appointments, and coordinating meetings. Maintain a clean and welcoming front desk area. Proofread documents for accuracy before distribution or filing. Collaborate with team members to ensure efficient office operations. Skills Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Strong typing skills with attention to detail for data entry tasks. Excellent organizational skills with the ability to manage time effectively. Familiarity with multi-line phone systems and phone etiquette. Previous experience in clerical or administrative roles is preferred. Bilingual abilities are a plus, enhancing communication with diverse clients. Experience as a dental or medical receptionist is advantageous but not required. Knowledge of office management practices and customer service principles is essential. Personal assistant experience is beneficial for managing executive tasks efficiently.
