Duties Greet visitors and clients warmly, providing exceptional customer service and ensuring they feel welcomed. Answer multi-line phone systems promptly using proper phone etiquette, directing calls efficiently to the appropriate departments or personnel. Manage front desk operations including scheduling appointments, maintaining visitor logs, and handling incoming correspondence. Perform clerical tasks such as filing, data entry, proofreading documents, and updating records using Microsoft Office applications like Word and Excel. Support office management by organizing supplies, maintaining cleanliness of the reception area, and assisting with calendar management for staff. Provide administrative support to team members as needed, including typing reports, managing emails, and supporting client communication efforts. Assist with basic office duties such as photocopying, faxing, and managing incoming/outgoing mail to ensure seamless daily operations. Skills Bilingual proficiency is highly desirable to effectively communicate with diverse clients and visitors. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and general office management software. Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment. Proven experience in office management or administrative roles with strong clerical skills including filing, proofreading, and data entry. Exceptional customer service skills with a friendly demeanor and professional phone etiquette. Ability to handle multi-line phone systems confidently while maintaining professionalism at all times. Effective time management skills to balance multiple responsibilities while ensuring accuracy and attention to detail. Previous experience in front desk or receptionist roles is preferred; personal assistant experience or calendar management skills are a plus.
