Position Overview We are seeking an experienced, organized, and dependable Medical Front Desk / Patient Intake Coordinator to support the daily administrative and customer service operations of our Adult Day Care & Rehabilitation Center. This position serves as the first point of contact for participants, families, referral sources, and healthcare professionals while ensuring efficient coordination of admissions, scheduling, and office operations. The ideal candidate is highly organized, customer-service oriented, and comfortable working in a fast-paced healthcare environment. Pay & Benefits Paid holidays Paid vacation Paid sick leave Stable, full-time position with long-term growth potential Key Responsibilities Front Desk & Customer Service Greet participants, families, visitors, and vendors in a professional and welcoming manner Answer and direct incoming phone calls Respond to inquiries regarding services, admissions, and scheduling Maintain a positive and professional first impression of the organization Assist participants and families with forms, paperwork, and general requests Patient Intake & Admissions Coordinate new participant admissions and enrollment processes Collect, review, and organize required admission documentation Follow up with physicians, hospitals, case managers, and families regarding missing paperwork Assist with obtaining medical records, physician forms, and authorizations Maintain accurate participant files and electronic records Scheduling & Administrative Support Schedule tours, assessments, and intake appointments Coordinate communication between participants, families, transportation staff, nursing staff, and administration Assist with participant attendance tracking and scheduling Manage office calendars and appointment coordination Perform data entry and maintain accurate records within company systems Documentation & Compliance Ensure participant records remain complete, organized, and compliant Maintain confidentiality and HIPAA compliance at all times Assist with audits, inspections, and administrative reviews as needed Scan, upload, and maintain documentation within electronic filing systems Communication & Relationship Management Serve as a liaison between participants, families, healthcare providers, case managers, and facility staff Provide timely updates regarding admissions, enrollment status, and required documentation Build and maintain positive relationships with referral sources and community partners Assist with community outreach events and facility tours when needed Office Operations Support Monitor office supplies and assist with ordering as needed Maintain an organized reception and administrative area Assist leadership with special projects and operational tasks Support other administrative departments as needed Qualifications Required Bilingual (English/Spanish) High School Diploma or GED required Excellent customer service and communication skills Strong organizational and multitasking abilities Professional telephone etiquette Proficient with computers, email, Microsoft Office, and data entry Ability to maintain confidentiality and handle sensitive information Ability to work efficiently in a fast-paced healthcare environment Preferred Qualifications Experience in a medical office, healthcare facility, adult day care center, nursing home, assisted living facility, or rehabilitation setting Knowledge of medical terminology Experience with patient intake, admissions, referrals, or insurance verification Familiarity with HIPAA requirements and healthcare documentation Experience coordinating with physicians, hospitals, case managers, and community agencies 2+ years of healthcare administrative or front desk experience preferred Important Notes This position is primarily administrative and customer-service focused Strong attention to detail and follow-through are essential Professional appearance and demeanor are required Employment is contingent upon successful completion of background screening requirements Occasional attendance at community events or outreach activities may be required
