Job Description
Overview The Medical Administrative Office Support plays a key role in delivering exceptional patient service in a busy outpatient mental health setting. This position is responsible for managing inbound and outbound calls, scheduling appointments, verifying insurance, collecting patient information, and ensuring efficient communication between patients, clinicians, and administrative staff. The ideal candidate demonstrates professionalism, empathy, and strong communication skills while maintaining confidentiality and accuracy in all interactions. Duties
- Answer high volume of incoming calls in a professional and courteous manner.
- Schedule, reschedule, and confirm patient appointments according to provider availability and office protocols.
- Provide accurate information regarding services, providers, and office policies.
- Perform insurance verification and update patient demographic and coverage information in the electronic health record (EHR).
- Handle patient inquiries regarding billing, documentation, or referrals and route calls appropriately.
- Maintain up-to-date knowledge of office procedures, provider schedules, and clinical services offered.
- Document all interactions accurately in the EHR or call management system.
- Assist with outbound calls to confirm appointments, follow up on referrals, or collect necessary intake information.
- Escalate urgent or crisis calls to the appropriate clinical staff according to established safety and risk protocols.
