Part-time, approximately 25-30 hours per week Overview Your Me Time Massage is seeking an experienced and dependable Medical Front Office Coordinator to manage front-office communication and daily administrative operations. This is a phone-forward position. Strong telephone communication is one of the most important parts of this role. We are looking for someone who is confident, professional, personable, and comfortable speaking directly with patients by phone throughout the day. This role is not centered around texting. The ideal candidate has prior medical office or healthcare administrative experience, is highly organized, dependable, tactful, upbeat, and able to manage the front office independently while the provider is in session. Responsibilities Answer and return patient phone calls promptly and professionally Make outbound calls regarding appointments, referrals, follow-ups, and patient needs Provide excellent customer service by phone and in person Handle patient questions, concerns, and pushback calmly and tactfully Assist with scheduling questions and appointment coordination Manage patient check-in and check-out Manage referrals, faxes, paperwork, and administrative documentation Maintain organized patient and office records Respond to emails and complete daily administrative tasks Maintain confidentiality and professionalism when handling patient information Serve as the professional first point of contact for the practice Maintain the cleanliness and appearance of the reception area, front office, and restroom throughout the day Keep office supplies and front-office areas organized and stocked Complete other administrative duties necessary to keep daily operations running smoothly Qualifications 2+ years of medical office, healthcare front-desk, or similar patient-facing administrative experience strongly preferred Excellent telephone etiquette and strong verbal communication skills Comfortable making and receiving frequent patient phone calls Strong customer service skills Confident handling difficult or uncomfortable conversations professionally Punctual, dependable, and consistent with attendance Professional appearance and dress Friendly, upbeat, and welcoming communication style Strong organizational and multitasking skills Attention to detail Comfortable using computers, email, scheduling systems, and basic office software Teachable and able to learn practice-specific systems and procedures Able to work independently and take initiative Comfortable being the face and voice of a small private practice Starting pay is $18.00 per hour, with the opportunity for an increase based on performance, attendance, reliability, professionalism, and overall contribution to the practice.
