Job Description
Job Summary The Front Desk / Patient Services Representative is the first point of contact for patients and plays a critical role in delivering an exceptional patient experience. This position is responsible for patient check-in/check-out, scheduling, insurance verification, and supporting the clinical and billing teams to ensure smooth daily operations in a vein and vascular specialty practice. Key Responsibilities Patient Experience & Front Desk Operations Greet patients professionally and warmly upon arrival Check patients in and out accurately using the EMR system Collect demographic information, insurance cards, and required forms Collect co-pays, deductibles, and patient balances at time of service Answer incoming calls promptly and professionally Respond to patient inquiries regarding appointments, procedures, and general clinic information Scheduling & Coordination Schedule new patient consultations, ultrasounds, and follow-up visits Coordinate procedure appointments in accordance with provider and ultrasound availability Confirm appointments and follow up on no-shows and cancellations Communicate scheduling changes clearly to patients and clinical staff Insurance & Administrative Support Verify insurance eligibility and benefits prior to patient visits Obtain and track prior authorizations for vein procedures and imaging when applicable Explain basic insurance coverage and financial responsibility to patients Maintain accurate and complete patient records Clinic Support & Compliance Maintain a clean, organized, and welcoming front office environment Ensure HIPAA compliance and protect patient confidentiality Assist with scanning, filing, and documentation as needed Support billing and clinical staff with administrative tasks as assigned Room patients and assist with clinical flow if needed Qualifications Required High school diploma or equivalent Minimum 1 year of experience in a medical front desk or healthcare office Strong customer service and communication skills Familiarity with EMR/EHR systems Ability to multitask in a fast-paced clinical environment Preferred Experience in a vein, vascular, radiology, or specialty medical practice Knowledge of insurance verification and prior authorizations Experience collecting patient payments and discussing financial responsibility Understanding of medical terminology related to vein or vascular care Skills & Competencies Professional and empathetic demeanor Strong organizational and time-management skills Attention to detail and accuracy Ability to handle sensitive patient situations with discretion Team-oriented with a positive attitude Physical & Work Requirements Ability to sit, stand, and walk throughout the day Ability to use office equipment (computer, phone, scanner) Occasional lifting of up to 20 pounds Schedule & Compensation Full-time / Part-time (as applicable) Monday-Friday business hours Competitive pay based on experience
