Friendly demeanor EMR systems Full Job Description Front Desk & Administrative Responsibilities Greet patients and visitors in a courteous and professional manner Answer multi-line phones, route calls appropriately, take messages Schedule, reschedule, and confirm patient appointments Schedule routine visits (e.g., annual physicals, chronic care follow-ups, vaccinations) Register new patients and update existing patient demographics in the EMR Collect and verify insurance information and obtain necessary authorizations Monitor and respond to messages in the clinic's EMR portal or voicemail inbox Medical Records & Documentation Maintain patient confidentiality and follow HIPAA guidelines Scan, upload, and manage documents in the electronic medical record system (EMR) Prepare and send referrals or specialist documentation as requested Clinical Support (as applicable) Coordinate with medical assistants and providers to ensure smooth patient flow Notify clinical staff of patient arrivals and delays Relay lab or imaging results to patients as instructed by provider (if allowed) Triage appointment requests based on urgency or provider availability Billing & Insurance Respond to billing inquiries or direct patients to appropriate department Customer Service & Communication Provide excellent patient service, including addressing complaints professionally Educate patients on practice policies, scheduling, payments, or portals Coordinate communication between patients, physicians, pharmacy, and lab services Office Operations Participate in team meetings, trainings, and compliance initiatives Support other office staff and departments as needed
