This is a full-time position working Monday through Thursday, ~ 7:45 AM - 6:30 PM , offering a consistent four-day work week and the opportunity to become an integral member of a collaborative healthcare team. Our clinic provides specialized services in Interventional Pain Medicine, Psychiatry, Psychology, and Occupational Therapy , serving a diverse patient population. The Front Office Representative plays a critical role in creating a positive patient experience while ensuring efficient clinic operations. Position Summary The successful candidate will serve as a key member of our Patient Services and Accounts Team , responsible for patient reception, scheduling, registration, insurance and account-related processes, and administrative support. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced medical environment. Primary Responsibilities Welcome patients, visitors, and vendors in a professional and courteous manner. Answer incoming telephone calls and provide information consistent with clinic policies and procedures. Check patients in and out of the electronic medical record system. Schedule and coordinate patient appointments, including complex treatment plans involving multiple visits and providers. Verify and update patient demographic and registration information. Inform patients of required forms, documentation, and preparation instructions prior to appointments. Collect patient financial responsibilities, including co-pays, co-insurance, deductibles, and outstanding account balances. Maintain accurate patient records through data entry and electronic medical record documentation. Perform general administrative duties including scanning, faxing, copying, filing, and word processing. Direct patients and visitors to the appropriate department or staff member. Maintain organized reception, waiting, and front office areas. Adhere to all clinic policies regarding confidentiality, HIPAA compliance, safety, and security. Deliver exceptional customer service while maintaining professionalism and compassion in all patient interactions. QualificationsRequired High school diploma or equivalent. Strong computer skills and proficiency with electronic medical record systems. Excellent communication and customer service skills. Ability to multitask and work efficiently in a busy healthcare environment. Strong attention to detail and organizational skills. Dependable attendance, punctuality, and effective time management. Ability to maintain patient confidentiality and comply with HIPAA regulations.
Preferred but not required:
Previous experience in a medical office, healthcare setting, or patient registration environment. Experience with patient scheduling, insurance verification, medical billing, or patient account collections. Familiarity with electronic medical records and healthcare practice management software.
