Job Description

Team work is emphasized as well as each employee's responsibility for individual work load. Physicians with Indiana Spine Group are leaders in the comprehensive diagnosis, treatment and surgery of the spine. Indiana Spine Group is a major referral and research center for comprehensive spine surgery and non-operative spine treatments.
Role Overview:
The primary responsibility of this role is to ensure that the physician's time is utilized to its maximum efficiency by scheduling patients' visits and procedures in a timely and effective manner. Under the direction of the Office Manager, this position represents the patient's first contact with the group and therefore involves a key marketing and customer service component to the position for both patients and referring physicians. This position ensures the consistency, accessibility and completeness of all patient information. Employees in this position may also be called upon to assist in other areas as assigned.
Essential Functions:
The following list describes the essential duties of this role. Individuals in this role may not perform all of these duties, or may perform additional, related duties not listed here. Answer incoming telephone calls as per practice and customer service standards. Responds to patient, referring physicians or facilities' inquiries, schedule appointments, take appropriate messages or transfer caller as necessary. Manage each phone contact efficiently and courteously to expedite the call in the least amount of time while meeting all of the needs of the patient including answering questions. Forward all medical related calls to the clinical staff assigned to clinical phone triage for the day. This position is not qualified to provide medical advice to patients. Schedule patient procedures in office management software system and coordinate schedule with patient, facility and physician's schedule. Provide patient with the routine medical instructions from the provider regarding their procedure. Provide external care facility with necessary information regarding patient status, date, time, insurance information, etc. Maintain each physician's schedule by scheduling patients per scheduling protocol. Coordinate changes in patient office visits or procedure dates. Notify affected staff of the changes. Accept new patient referrals from referring physician offices. Contact patient or referring physician staff as necessar Treat all patients, referring physicians, referring physician's staff, vendors and visitors courteously and with the utmost respect. Perform all duties respectful of confidentiality and safety of all patients, employees and physician with adherence to HIPAA regulations and policy. Secure charts in workplace from view of non-essential personnel. When required by offsite facilities, complete appropriate forms for the procedure from information in patient chart and/or office management system. Scan documents for patient procedures and file in chart prior to procedure. Complete assigned sections Precertification/Predetermination of Surgery Benefits worksheet by obtaining information from the patient chart and/or office management system. Add copy worksheet to chart and send copy to billing department. Call patient to schedule procedures after receipt of confirmation of recertification/predetermination from billing department.
