This vital role combines front-office responsibilities with accurate medical billing and coding tasks, will possess a strong background in medical billing and coding within mental health settings, ensuring smooth patient interactions and precise reimbursement processes. The ideal candidate will be energetic, organized, and passionate about delivering excellent patient service while maintaining meticulous financial records. Your proactive approach will help optimize office efficiency, improve revenue cycles, and foster a welcoming environment for patients and staff alike. As a Mental Health Biller and Coder, you will ensure accurate submission of claims, proper documentation, and compliance with healthcare regulations, contributing to the efficient operation of our mental health services. Position requires expert-level navigation of behavioral health claims alongside a warm, empathetic presence to manage our physical lobby, greet clients, and support daily front office operations.
General Duties:
Greet patients warmly, verify insurance information, and update medical records to ensure accurate documentation. Schedule patient appointments efficiently while managing multiple calendars and priorities. Submit and track, accurately code outpatient counseling claims electronically using mental health CPT codes
Key Responsibilities:
Mental Health Billing (60% estimated time) Collect payments, process co-pays, and handle billing inquiries with professionalism and clarity. Prepare and submit insurance claims using Electronic Medical Record (EMR) or Electronic Health Record (EHR) systems, ensuring compliance with coding standards such as CPT (Current Procedural Terminology), ICD-9, ICD-10, and DRG (Diagnosis-Related Group). Review and code medical procedures accurately using CPT coding, ICD coding, and DRG classifications to facilitate proper reimbursement. Follow up on unpaid claims through medical collection efforts to maximize revenue recovery. Maintain organized medical records, ensuring confidentiality and adherence to privacy regulations. Collaborate with healthcare providers to clarify billing details or coding discrepancies as needed. In-Person Front Office Support (40% estimated time based on traffic of the office) Greet counseling clients warmly upon arrival and maintain a calm, welcoming lobby atmosphere. Verify mental health insurance eligibility and benefits on-site before client sessions. Know the details of providers, providers' schedules, their ares of focus, etc. Schedule appointments and manage clinician calendars using the practice management software. Answer incoming phone calls, check physical mail, and handle office correspondence. Maintain strict confidentiality of all client paperwork and data in compliance with HIPAA regulations. Audit and resolve claims issues, focusing on prior authorizations and session limit denials. Be able to work with our EHR system, SimplePractice. We will train you to work with the SP system. Post insurance payments and process client copays, deductibles, and co-insurance. Monitor accounts receivable aging reports and contact commercial payers. No government based billing. Collaborate with clinicians and administrative staff to clarify documentation and improve coding accuracy. Follow up on unpaid or denied claims through medical collection processes to maximize revenue. Be able to clearly explain behavioral health benefits, out-of-pocket costs, and superbills to clients. Review medical records to verify diagnoses and treatment details for precise billing. Stay current with updates in medical billing regulations, coding guidelines, and healthcare policies related to mental health services. Skills Strong knowledge of medical billing processes including ICD (International Classification of Diseases), CPT coding. Proficiency in EMR/EHR systems for documentation, billing, and record management. Excellent understanding of medical terminology and medical office procedures. Experience with medical collection practices to effectively manage outstanding accounts. Familiarity with medical records management and privacy standards such as HIPAA. Ability to navigate complex insurance policies and perform accurate claim submissions. Exceptional organizational skills with attention to detail in coding, billing, and administrative tasks.
