Job Summary We are seeking a dynamic and organized Front Desk Dental Scheduler/Admin to join our vibrant dental practice team. In this pivotal role, you will serve as the first point of contact for patients and visitors, managing appointment scheduling, patient check-ins, and administrative support with enthusiasm and professionalism. Your proactive approach will ensure smooth daily operations, foster excellent patient service experiences, and uphold the highest standards of clinical confidentiality. This position offers an exciting opportunity to utilize your administrative expertise in a fast-paced dental environment while contributing to exceptional patient care. Duties Greet patients warmly upon arrival, verify insurance coverage, and update patient records efficiently using electronic health records (EHR) systems such as Epic, Meditech, Dentrix, or Eaglesoft. Schedule, reschedule, and confirm dental appointments accurately through multi-line phone systems and computerized scheduling software. Verify insurance benefits and perform insurance authorization procedures, including Medicare and health insurance knowledge, to facilitate seamless billing processes. Manage patient intake forms, review documentation for completeness, and ensure compliance with HIPAA and clinical confidentiality policies. Handle phone communication professionally with excellent phone etiquette and maintain clear documentation of all interactions. Assist with medical billing tasks such as CPT coding, ICD-10/ICD-9 coding, and medical collection processes to support revenue cycle management. Maintain organized medical records, files, and electronic health records (EHR) management while adhering to health information management standards. Requirements Prior experience in a dental or medical office environment with strong clinic experience or dental clinic experience preferred. Proficiency in EMR/EHR systems such as Epic, Meditech, eClinicalWorks, or Dentrix; familiarity with Eaglesoft is a plus. Knowledge of medical terminology, dental terminology, insurance verification processes, and health insurance policies including Medicare. Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) and typing skills including 10-key typing for data entry accuracy. Strong customer service skills with the ability to communicate effectively via phone and in person while maintaining professionalism under pressure. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Demonstrated clerical experience with filing, documentation review, appointment scheduling, and office management tasks. Ability to handle sensitive information discreetly in accordance with HIPAA regulations and clinical confidentiality policies. Strong organizational skills with attention to detail in medical records management and documentation review processes.
