Job Description

Seeking a medical secretary in an Oncology/Hematology clinic. The medical secretary is responsible for providing administrative support to the doctors, nurses, and technicians in the medical office.
Essential Duties and Responsibilities:
Open front office doors daily Monday-Friday. At least one medical secretary will be present in the office between the hours of 8:00 am-4:30 pm, extending to the full office hours of 5 pm as patient care requires. Greet patients and others who may enter the office upon arrival. Verify/update demographic and insurance information. Send all updates to billing for verification. Collect appropriate co-pay and/or balance from patients if required. Check patients into the electronic medical record (EMR) by changing status. Determine who will be seeing the patient, prepare the paper chart, and place it into the slotted wall hanger. Monitor the lobby and patient flow with frequent lobby surveillance. Answer incoming calls and check messages throughout the day. Schedule, reschedule, and cancel appointments.
For patients checking out:
schedule follow up visits, provide lab and diagnostic testing orders, ensuring that all orders have been scanned into the EMR. Schedule PET/CT, MRI, X-ray, Biopsies, Port Placements, PICC line placements, procedures done in interventional radiology, specialist appointments, or other appointments as needed per Dr. Bazzi/Dr. Massoud's request. Ensure that an office visit is scheduled for follow-up to review results. Make reminder calls 1-2 days prior to appointments to ensure that patients remember their upcoming appointments. Check for labs/scans/other results that have been ordered prior to the patient's appointment by checking 1-2 days prior to the scheduled review of results. Continuously check Updox for incoming faxes to be transferred to Practice Fusion or to the appropriate recipient. Continuously check email accounts for patient inquiries. Check eligibility report for any referrals required by insurance. When receiving new patient referrals, obtain patient demographics (address, phone number, date of birth, insurance, primary care provider, other providers involved in their care, referring doctor and reason for the referral) Request records on all new patients and obtain them PRIOR to the first visit with
MD:
request records from the referring office to include notes, scans, labs, procedures etc. If necessary, obtain a Medical Records Release consent from the patient. If necessary, obtain or ask the patient to assist with obtaining records from imaging and lab facilities (i.e. CRA, FHH, Meritus, LabCorp, Quest, etc). Provide a New Patient Packet to all new patients PRIOR to the first visit to be filled out and brought to the first appointment. The New Patient Packet can be emailed, faxed, or mailed directly to the patient with the Welcome Letter. Remind all new patients to bring records, insurance cards (to include Medical and Pharmacy), ID/Driver's license, and referral (if this is required by their insurance) prior to their first appointment. Scan all necessary documents into the EMR (i.e. lab orders, consents, encounters, letters, etc.). Complete medical records requests from other providers, social security, private insurances, disability carriers, etc.
Complete end of day report:
to include patient co-pays, balances received, payments/correspondence from insurance companies. Process all payments. Shred documents containing ALL protected information including medical, personal, and financial information. Daily filing and preparation of paper charts. Maintain the front office area, keeping the area organized and disinfected. Desks, phones, keyboards, and mouse, should be wiped down and trash/shred should be taken out daily. Update job knowledge by participating in educational opportunities. Have a willingness to perform other duties as requested.

Full Time 37-40 hours per week; some flexibility in hours as job demands. No overtime unless prior approval by Team Captain/Dr. Bazzi (not to exceed 40 hours per week). Potential for shortened or canceled shifts when workload dictates reduced staffing.(See Employee Handbook) Job description is subject to change and will be reviewed on an annual basis.
Job Requirements:
COVID Vaccine - Prior to Start Date Minimum 2 years medical office experience required, ability to interact professionally and respectfully with patients, patient families, and practice employees. Must be proficient in word processing, have minimum typing ability of 45 wpm Ability to operate standard office equipment (i.e. photocopier, fax machine, calculator).
