Overview We are seeking a dedicated and detail-oriented Medical Receptionist to join our healthcare team. The successful candidate will serve as the first point of contact for patients and visitors, providing exceptional administrative support and ensuring smooth clinic operations. This role requires a professional with strong communication skills, comprehensive knowledge of medical administrative procedures, and proficiency in various electronic health record (EHR) systems. The Medical Receptionist will play a vital role in maintaining patient confidentiality, managing appointments, verifying insurance, and supporting clinical staff to deliver outstanding patient care. Duties Greet patients and visitors warmly, ensuring a welcoming environment while managing multi-line phone systems with professionalism and courtesy. Schedule appointments accurately using EMR (Electronic Medical Records) systems such as Epic and NextGen while coordinating with clinical staff to optimize clinic flow. Verify insurance coverage and perform insurance authorization and pre-authorization processes in accordance with health insurance policies, including Medicare and Medicaid requirements. Collect and process patient payments, perform medical billing tasks, and manage collections efficiently while adhering to HIPAA regulations. Maintain accurate medical records by reviewing documentation for completeness and compliance with clinical confidentiality policies; update patient information regularly. Assist with intake procedures, including collecting patient histories, updating demographic data, and explaining clinic policies clearly. Manage appointment reminders, cancellations, rescheduling, and follow-up communications to ensure optimal patient engagement. Support clinical staff by preparing documentation review, coding procedures using CPT (Current Procedural Terminology), ICD-9/ICD-10 codes for billing purposes, and ensuring accurate medical coding practices. Ensure the cleanliness and organization of the front desk area while maintaining compliance with infection control standards relevant to healthcare environments. Skills Extensive knowledge of medical collection processes, medical billing procedures, and health insurance verification protocols. Proficiency in EMR/EHR systems including Epic and NextGen, strong computer skills are essential. Familiarity with HIPAA regulations governing patient privacy and confidentiality; experience in documentation review is highly valued. Strong understanding of medical terminology across various specialties, experience with CPT coding and ICD coding (ICD-9/ICD-10). Excellent customer service skills combined with phone etiquette and effective communication abilities. Prior clinic or hospital experience demonstrating competence in medical office management and administrative support functions. Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail; proficiency in typing (including 10 key typing) is required. Knowledge of health information management practices related to electronic health records (EHR) management.
