Medical Front Desk Coordinator Prana Health - 3.1 Fayetteville, NC Job Details Full-time From $15 an hour 21 hours ago Benefits Health insurance 401(k) Paid time off Qualifications Customer communication Full Job Description Job Summary We are seeking a highly organized and detail-oriented Front Desk Coordinator to manage patient interactions, scheduling, and administrative tasks. This role is essential in ensuring smooth front office operations and excellent patient service. The ideal candidate must strictly follow established checklists and protocols without bypassing any steps. Key Responsibilities Patient Registration & Check-in Verify and update patient demographics in the system, ensuring accuracy. Ensure at least two contact numbers and an email are on file. Collect and upload insurance details and ID pictures into the patient chart. Understand the basics of chart creation and documentation. Scheduling & Communication Schedule and confirm appointments while adhering to office guidelines. Answer incoming calls professionally and resolve patient queries promptly. Coordinate with the billing team to ensure eligibility checks are completed for upcoming appointments. Notify patients with high balances or deductibles and work with the Billing Coordinator to provide financial expectations. Financial Transactions & Documentation Collect co-pays and other due payments at check-in. Ensure all payments are properly recorded and submitted to management at the end of the day. Ensure all necessary paperwork is completed and filed in the patient's chart. Organize and sort incoming mail to ensure important paperwork and Explanation of Benefits (EOBs) are promptly identified and processed. Customer Service & Problem-Solving Be courteous and empathetic when interacting with patients and families. Use common sense to address patient concerns and escalate issues when needed. Handle cancellations and escalations appropriately per office policies. Ensure a smooth check-in process for all patients. Technology & Compliance Be proficient in computer systems and EHR for quick and accurate data entry. Maintain compliance with HIPAA and patient confidentiality regulations. Follow all office protocols. Perform any additional duties as assigned by management to ensure smooth office operations and optimal patient care. Qualifications & Skills Previous experience in a medical front office, customer service, or administrative role preferred. Strong attention to detail and ability to follow checklists and protocols. Excellent communication and interpersonal skills. Basic math skills for handling payments and patient balances. Proficiency in basic computer skills. Ability to multi-task in a fast-paced environment. Schedule & Work Environment Full-time position, onsite. Requires standing, sitting, and occasional lifting of office supplies. Willingness to work at both Fayetteville and Sanford locations as scheduled by management. Follow chain of command.
