Job Description

Overview We are seeking a friendly and organized Front Desk & Scheduling Coordinator to join our medical practice. This role is essential in providing exceptional patient service by managing front desk operations, scheduling appointments, and ensuring smooth daily operations. In this role, you will bridge the gap between our clients and clinical providers. You will maintain a serene office environment, coordinate complex calendars, and manage administrative workflows with precision, discretion, and care. Responsibilities Client Experience & Reception Greet arriving clients, handle check-in/check-out, and maintain a peaceful, organized lobby environment Scheduling & Patient Communication Coordinate multi-provider calendars across psychotherapy and medication management services, handling initial consultations, follow-ups, and reschedules. Serve as the primary contact for daily incoming calls, texts, and portal messages; triage clinical inquiries and crisis situations according to practice protocols. Intake, Records, & Billing Operations Schedule intake appointments, confirm active insurance eligibility, consent paperwork, and completed intake packets prior to appointments. Maintain prospective patients and tracks referral progress via Referral Tracker Collect copays and past-due balances, store payment cards on file, and process time-of-service billing. Scan, upload, and attach patient documentation and insurance cards directly to Electronic Health Record (EHR) charts. Manage formal Release of Information (ROI) requests Practice Support & Compliance Uphold strict HIPAA guidelines across all verbal, written, and digital communications. Collaborate with administrative and clinical staff to share workload during high-volume periods. Enforce late-cancellation/no-show policies and process associated feess. Coordinate logistics for facility maintenance, team needs, and pharmaceutical representative visits. Requirements
EDUCATION
High school diploma or equivalent required Bachelor's degree in psychology, communication, public health, or related field preferred
EXPERIENCE 1
year experience working in a medical, behavioral health, or administrative office setting preferred
QUALIFICATIONS & CORE SKILLS
Industry Knowledge:
Understanding of outpatient medical insurance workflows, eligibility verification, and HIPAA privacy regulations .
Communication & Care:
Strong verbal and written communication skills with an empathetic, client-focused approach to patient interaction and education.
Technical Proficiency:
Comfort using office technology, EHR systems, and Google Workspace.
Administrative Precision:
High accuracy and attention to detail when entering data, managing schedules, and updating patient charts.
Workplace Adaptability:
Ability to operate self-sufficiently while contributing effectively to a collaborative practice team.
