Practice Manager / Clinical Director Position Overview We are seeking a friendly, professional, and detail-oriented Medical Receptionist to join our outpatient physical therapy team. As the first point of contact, the receptionist plays a vital role in ensuring an exceptional patient experience from check-in to check-out. Key ResponsibilitiesFront Desk Operations Greet patients, families, and visitors in a professional and courteous manner Manage patient check-in and check-out processes Schedule, confirm, and modify patient appointments based on clinician availability Collect required signatures, forms, and documentation Answer high-volume phone lines and route calls accurately Insurance & Billing Support Verify patient insurance eligibility and benefits prior to visits Obtain authorizations and referrals when required Collect co-pays, deductibles, and outstanding balances Ensure accurate entry of patient demographic, billing, and insurance data into EMR Administrative Support Communicate with clinicians regarding patient flow and schedule changes Maintain professional and compliant medical records Assist with daily logs, intake forms, and scanning documents Support general office tasks including filing, faxing, emailing, and data entry Monitor and maintain tidy and welcoming lobby and workstation areas Customer Service & Patient Experience Demonstrate empathy, professionalism, and service-oriented communication Help patients understand scheduling, payments, paperwork, and intake steps Escalate concerns or feedback to leadership when necessary Promote a calm and supportive environment for patients undergoing treatment Qualifications High school diploma or equivalent required Prior experience in a medical office, PT/OT clinic, or health-care setting preferred Strong computer skills and ability to learn EMR systems Knowledge of insurance processes, authorizations, and medical terminology strongly preferred Excellent phone etiquette and interpersonal communication skills Ability to multitask efficiently in a busy clinic High level of professionalism, reliability, and discretion with confidential information Core Competencies Customer service excellence Strong organizational and time-management skills Positive, team-oriented attitude Ability to stay calm in fast-paced or high-volume environments Strong problem-solving and follow-through Attention to detail and accuracy Physical Requirements Ability to sit, stand, and move intermittently throughout the day Use of computer, phone, and office equipment Schedule & Availability Weekday shifts Evening coverage as needed Weekend availability based on clinic schedule Flexibility to support multiple locations if required Compensation, Benefits & Growth Highly competitive hourly rate (based on experience) Comprehensive benefit package (medical, PTO, 401k, etc. if applicable) Paid training and onboarding Opportunities for career advancement in office administration, billing, management, or clinical support roles Growing organization with internal promotion potential
