In this vital role, you will serve as the first point of contact for patients and healthcare providers, ensuring smooth administrative operations within the medical practice. Responsibilities Greet patients warmly, schedule appointments, and manage patient check-in/check-out processes using electronic health record (EHR) . Verify insurance coverage, perform insurance eligibility checks, and process claims using medical billing systems aligned with HIPAA regulations. Prepare and review medical documentation, including care plans, progress notes, and referral letters, ensuring accuracy and compliance with clinical confidentiality policies. Handle incoming calls with professional phone etiquette, answer inquiries related to appointments, billing, or medical records, and direct calls appropriately. Maintain organized filing systems for medical records, test results, and correspondence while ensuring secure electronic health records (EHR) management. Support clinical staff by coordinating appointment scheduling, managing multi-line phone systems, and assisting with intake procedures for new patients. Requirements Proven experience as a Medical Secretary or in a similar medical administrative support role within clinics or hospitals. Proficiency in EMR system Strong knowledge of health insurance processes including verification, Medicare procedures, and insurance claim submission. Excellent understanding of medical terminology, CPT coding, ICD coding (ICD-10/ICD-9), and documentation review standards. Demonstrated ability to handle sensitive information in accordance with HIPAA regulations and clinical confidentiality policies. Exceptional computer skills including Microsoft Office Suite (Word, Excel), typing speed (10 key typing), and electronic health records (EHR) management. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Outstanding customer service skills combined with professional phone etiquette and effective communication abilities. Prior clinical office experience is preferred. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
