Job Description

Administrative Duties Answer and manage incoming phone calls, triage patient inquiries, and direct calls appropriately Schedule, confirm, and reschedule patient appointments Maintain physician schedules Prepare, scan, fax, and file medical records and documents Patient Coordination Greet and check in patients in a professional and courteous manner Verify patient information, insurance details, and referrals Communicate appointment instructions and follow-up care information as directed Assist with patient forms and documentation Medical Records & Documentation Maintain accurate and up-to-date electronic medical records (EMR/EHR systems) Ensure compliance with HIPAA and all confidentiality regulations Billing & Insurance Support Assist with insurance verification and authorization processes Address patient billing questions or direct to appropriate personnel Office Operations Coordinate to order and maintain office and medical supplies Coordinate communication between providers, patients, laboratories, and specialists Support quality improvement initiatives and office procedures Qualifications Education & Experience High school diploma or equivalent required Previous experience in a medical office preferred Knowledge of medical terminology is an asset Skills & Competencies Strong organizational and multitasking skills Excellent verbal and written communication abilities Proficiency in EMR/EHR systems and Microsoft Office Attention to detail and accuracy in documentation Ability to maintain confidentiality and professionalism Excellent attendance Work Environment Fast-paced medical office setting Frequent interaction with patients, physicians, and healthcare staff May require sitting for extended periods and frequent computer use Physical Requirements Ability to sit, stand, and move within the office environment Manual dexterity for computer and office equipment use
