Full Job Description Summary:
The Office Receptionist operates as a first point of contact for clients and visiting community partners. Relying on excellent customer service and communication skills, the office receptionist assists in the day-to-day operations of the practice - scheduling, accepting calls, managing calendar appointments, and other duties as assigned. The Office Receptionist reports to the Operations Coordinator.Responsibilities:
Manage incoming calls and transfers, cancellations and rescheduling of appointments, and coordinate linkage to specialized services as appropriate Respond to clients in a courteous and timely manner Assist Clients with navigating paperwork, company website, scheduling, insurance, and various other activities related to their services Update and maintain procedures related to health record forms and guides Provide day-to-day maintenance of administrative systems, including but not limited to staff and client records, tracking logs, and shared drive documents Follow complaint and grievance procedures to ensure timely resolution Assist with records requests from the practice to external sources Ensure all correspondence to and from the practice is coordinated accurately and in a timely manner Provide support to management, as well as the operations and clinical departments as appropriate and necessary Support employee and client experience across office operations Assist with office supply inventory and workplace organization Maintain site readiness, cleanliness, and administrative compliance Assist with security procedures and client access management Other duties as assignedQualifications:
Required - High School Diploma or equivalent Preferred - Previous experience as an administrative assistant, receptionist, or a similar role, healthcare setting Valid driver's license and unrestrictedKnowledge, Skills & Abilities:
Google Workspace, including Google Meet, Email, and Chat Competency with Electronic Health Records (EHR) Excellent written and verbal communication skills Data analysis, including but not limited to health records Ability to manage multiple tasks independently Ability to collaborate with multidisciplinary team Maintain high level of confidentiality in accordance with HIPAA laws/regulations Benefits, dependent on Part/Full-time schedule: Guaranteed weekly pay via direct deposit Simple IRA with employer match, after eligibility is met HSA option, based on eligibility Paid time off for wage employees Professional development assistanceSchedule:
8:00am-6:00pm; position requires a regular 40-hour weekly schedule between Sunday-Friday; specific schedule open to negotiationPay:
