Job Description

Overview We are seeking a dedicated and detail-oriented Dental Front Office professional to serve as the first point of contact for our patients and visitors. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a thorough understanding of dental office operations. This role is vital in ensuring smooth daily clinic functions, providing exceptional patient service, and supporting the administrative needs of the practice. The Dental Front Office staff will play a key role in fostering a welcoming environment while managing appointment scheduling, insurance verification, and medical documentation review. Responsibilities Greet patients warmly upon arrival, ensuring a positive first impression and providing outstanding customer service. Manage appointment scheduling using dental practice management software such as Eaglesoft or Dentrix, coordinating with clinical staff to optimize daily patient flow. Verify insurance coverage and benefits using systems like Epic, Meditech, or Athenahealth; confirm patient eligibility and explain coverage details clearly. Handle phone inquiries professionally, utilizing multi-line phone systems to address patient questions, appointment requests, and general clinic information. Collect and process payments accurately, including copays and outstanding balances, while maintaining confidentiality in accordance with HIPAA regulations. Maintain accurate patient records by updating demographic information, documenting treatment plans, and reviewing medical documentation for completeness. Support medical administrative functions such as filing medical records, managing correspondence, and assisting with medical billing and coding tasks including
CPT, ICD-9/10
coding. Ensure compliance with health information management standards by safeguarding patient data and adhering to HIPAA guidelines. Assist with intake procedures for new patients by collecting necessary medical history forms and verifying insurance details prior to appointments. Perform clerical duties such as data entry, document review, and maintaining organized filing systems to support efficient clinic operations. Requirements Proven experience working in a dental or medical front office environment with familiarity in dental terminology and clinical workflows. Strong knowledge of EMR (Electronic Medical Records) systems such as Eaglesoft, Dentrix, or eClinicalWorks; experience with Epic or Meditech is a plus. Proficiency in insurance verification processes including Medicare and Medicaid procedures; experience with medical billing and coding is highly desirable. Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) and health information management software. Exceptional customer service skills combined with professional phone etiquette and effective communication abilities. Ability to handle multiple tasks efficiently in a fast-paced setting while maintaining attention to detail. Bilingual skills are preferred to serve diverse patient populations effectively. Prior clinic or healthcare office experience is required; familiarity with HIPAA regulations is essential for maintaining confidentiality. Strong organizational skills with experience managing medical records, documentation review, and office management tasks.
