Job Description
Front Desk Receptionist Concierge Medicine of Westlake is searching for a warm, compassionate, and highly organized Front Desk Receptionist to become an integral part of our growing concierge medical practice. This role is far more than answering phones and scheduling appointments — it is about creating a welcoming, calming, and personalized experience for every patient who walks through our doors. As the first and last impression of the practice, this individual will help foster the elevated level of care, connection, and hospitality that defines concierge medicine. Strong communication skills, professionalism, emotional intelligence, and a willingness to support both administrative and limited clinical responsibilities are essential to success in this role. Essential Duties & Responsibilities Front Desk & Patient Experience Answer incoming phone calls professionally and efficiently Greet and welcome patients and guests with a concierge-level experience Check patients in and out for appointments Schedule, reschedule, and confirm appointments Manage patient communications and messages appropriately Maintain patient confidentiality and HIPAA compliance at all times Assist with intake paperwork and patient forms Collect and document accurate demographic and insurance information as applicable Administrative Responsibilities Assist with incoming and outgoing fax management Scan, upload, and organize documents within the electronic medical record Monitor office email and route messages appropriately Maintain organized front office workflows and patient communications Assist providers and staff with administrative support tasks as assigned Office Operations & Maintenance Maintain cleanliness and organization of front desk and common office areas Restock exam rooms, office supplies, beverages, and patient amenities Assist with inventory monitoring and supply organization Support daily opening and closing office procedures Clinical Cross Coverage Support Provide limited cross coverage support for the Medical Assistant as needed Assist with basic patient rooming Obtain and document vital signs accurately Prepare patients for provider visits when needed Support patient flow and clinic efficiency Qualifications High school diploma or equivalent required Prior experience in a medical office, concierge practice, hospitality, or customer service setting preferred Strong verbal and written communication skills Excellent organizational skills and attention to detail Ability to multitask and adapt in a dynamic environment Professional appearance and demeanor Comfortable using computers, electronic health records, Microsoft Office, and office technology Ability to work independently while functioning as part of a collaborative team Benefits We believe in creating a workplace that values balance, growth, and a positive team culture. Compensation for this position is competitive and will be based on experience, skill set, and overall fit for the role. Salary is negotiable within the $19-$23/ hr. range for candidates with relevant experience and qualifications.
