Job Description
Position Summary:
The Medical Receptionist is responsible for providing administrative and clerical support to ensure efficient office operations and excellent patient service. This position serves as the first point of contact for patients, vendors, and visitors while supporting daily clinic workflow.Position Responsibilities:
- Operate a multi-line telephone system by answering, screening, and forwarding calls professionally and efficiently.
- Schedule patient appointments and assist with appointment confirmations and follow-up calls.
- Review and respond to voicemails in a timely manner.
- Greet patients and visitors while providing excellent customer service.
- Perform administrative support tasks including proofreading, data entry, transcribing handwritten information, and maintaining office documentation.
- Assist with scanning, filing, and maintaining accurate patient documentation.
- Support clinical and administrative staff with additional duties as assigned.
- Utilize computers, calculators, and office equipment to process invoices and other documents.
- Receive, address, and appropriately route patient or customer concerns and complaints.
- Transmit information and documents through email, fax, mail, or electronic medical record systems.
- Analyze requests and direct patients or callers to the appropriate department or staff member.
- Provide information regarding office locations, departments, staff members, and services offered.
- Process patient referrals and coordinate communication with outside providers and facilities.
- Maintain and process medical records in accordance with HIPAA and company policies.
Minimum Requirements:

- Must have a high school diploma, college degree preferred, not required.
- Six months to one-year related experience and/or training; or equivalent combination of education and experience.
- Good communication skills

- Proficient in Microsoft Office programs

Physical Requirements:
- Ability to sit, stand, and walk for extended periods.
- Ability to use office equipment including computers, phones, printers, and fax machines.
- Ability to occasionally lift up to 20 pounds.
