Job Description

Job Overview We are seeking a dynamic and highly organized Appointment Scheduler to join our healthcare team. In this vital role, you will be the first point of contact for patients and providers, ensuring smooth and efficient scheduling processes across multiple systems. Your proactive approach and excellent communication skills will help optimize patient flow, reduce wait times, and enhance overall patient experience. This position offers an exciting opportunity to contribute to a well-coordinated healthcare environment while utilizing your expertise in medical administrative support and electronic health record (EHR) systems. Duties Schedule patient appointments accurately using various EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, and others Verify insurance coverage, perform insurance verification, and coordinate with insurance providers for appointment authorizations Manage appointment changes, cancellations, and rescheduling requests promptly to maintain clinic efficiency Review medical documentation including care plans, CPT coding, ICD-9/10 codes, and medical records for accuracy and completeness Assist with patient intake processes by collecting necessary information and updating electronic health records accordingly Maintain excellent phone etiquette when communicating with patients, providers, and insurance companies on multi-line phone systems Support front desk operations by managing patient check-in/out procedures, filing medical records, and handling clerical tasks such as data entry and typing Requirements Proven experience in medical scheduling within a clinical or dental setting; clinic or hospital experience preferred Strong knowledge of EMR/EHR systems including Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix or Eaglesoft is highly desirable Familiarity with medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing procedures Knowledge of HIPAA regulations to ensure patient confidentiality and data security Excellent computer skills with proficiency in Microsoft Office applications such as Word and Excel Ability to review documentation accurately and perform insurance verification efficiently Bilingual skills are a plus to serve diverse patient populations effectively Strong organizational skills with attention to detail in office management tasks such as filing and documentation review Exceptional customer service skills combined with professional phone etiquette and a friendly demeanor Previous experience working in a busy medical or dental office environment is preferred; office management or administrative experience is advantageous Join our team as an Appointment Scheduler where your expertise will help create a seamless healthcare experience for every patient.
