Responsibilities Greet patients and visitors warmly, providing excellent customer service and clear communication. Schedule appointments accurately using electronic health record (EHR) systems such as ECW, Epic, or Athena Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes. Manage patient check-in and check-out procedures, ensuring all documentation is complete and compliant with HIPAA regulations. Collect and process payments, and manage collections efficiently. Maintain accurate medical records by reviewing documentation for completeness and correctness; update electronic health records (EHR) systems like eClinicalWorks or Dentrix. Answer multi-line phone systems with professionalism, practicing proper phone etiquette and handling appointment scheduling or inquiries promptly. Support clinical staff by preparing intake forms, updating patient information, and managing medical office administrative tasks such as filing and data entry. Ensure compliance with healthcare policies including HIPAA confidentiality standards and clinical documentation review protocols. Assist with health information management tasks such as filing medical records, managing electronic health records (EHR), and maintaining office supplies. Experience Candidates should bring a strong background in medical office management or administrative support within healthcare settings. Prior clinic experience—particularly in primary care, dental or hospital environments—is highly valued. Proficiency in EMR/EHR systems like Epic, Athenahealth, or eClinicalWorks is essential. Ideal applicants will demonstrate excellent computer skills including Microsoft Office applications; familiarity with insurance verification processes, and health insurance knowledge is required. Experience with medical administration for primary care and familiarity with clinical confidentiality policies will set candidates apart. Strong organizational skills for managing medical records, filing systems, and multi-line phone operations are crucial. A successful candidate will possess at least some clinic or healthcare office experience along with outstanding customer service abilities.
