® Procedure. We treat patients with chronic back and neck pain who have often been through years of failed treatments and are looking for an alternative to spinal fusion or other invasive surgery. Many of our patients fly in from across the country and abroad. The work we do here changes lives, and the people who work the front office are the first voice and face every one of those patients encounters. About the role We are looking for a medical front office coordinator who can be the calm, organized, professional first point of contact for our patients. You will work directly with people who are often in pain, sometimes frustrated by their previous medical experiences, and frequently weighing a major decision about their care. Your job is to make them feel heard, get them where they need to be, and keep the practice running smoothly behind the scenes. This is not a high-volume urgent care reception job. It is a relationship-driven role at a destination spine practice, and we need someone who treats every interaction that way. What you'll do Communicate with patients by phone with warmth and professionalism Schedule, confirm, and coordinate appointments across our Dallas office and our visiting physician days Coordinate travel and accommodation logistics for out-of-town patients when needed Manage patient records in PracticeQ and keep HubSpot contact records accurate and up to date Collect and route MRI uploads, intake forms, and medical history documentation Process self-pay payments and explain financing options when patients ask Field inbound calls, route them appropriately, and follow up on missed calls promptly Communicate clearly between patients and clinical staff so nothing falls through the cracks Protect patient privacy and follow HIPAA standards in every interaction Keep the reception area presentable and the supply closet stocked Who we're looking for You have worked in a medical front office before, ideally in a specialty practice, surgical practice, or concierge medical setting. You know what it feels like to talk to a patient who has been hurting for a long time, and you have the patience to let them tell their story before steering them to the right next step. You are organized, but you are not robotic. You can handle a complicated insurance question and a tearful phone call in the same hour without losing your composure. You are comfortable with technology. We use PracticeQ for EMR, HubSpot for patient communication and CRM, JustCall for phones, and Google Workspace for everything else. You don't need to be an expert in any of these on day one, but you need to be the kind of person who picks up new software quickly and is not afraid of it. You take ownership. If something needs to be fixed, you fix it or you flag it. You do not let things sit. What you'll need Two or more years of medical front office experience, with a preference for specialty or cash-pay practices Strong written and verbal communication Proficiency with EMR systems and standard office software Working knowledge of HIPAA The ability to stay calm and professional under pressure What's a plus Experience in spine, pain management, orthopedic, or regenerative medicine Experience coordinating logistics for out-of-state or international patients Bilingual (English and Spanish) Experience with PracticeQ, HubSpot, or JustCall specifically Compensation and benefits Medical, dental, and vision insurance Paid time off Monday through Friday schedule, no weekends or after-hours coverage required How to apply Apply directly through Indeed.
