The ideal candidate will have excellent communication skills, a warm and welcoming personality, and the ability to manage multiple responsibilities in a busy healthcare environment. This position will begin as a part-time role with the opportunity to transition into a full-time position. Experience working in a psychiatric, behavioral health, or mental health clinic is strongly preferred , and experience with Spravato® treatment is a major plus. The right candidate will be comfortable interacting with patients, providers, insurance companies, and other members of the healthcare team while maintaining a high level of professionalism and confidentiality. Key Responsibilities Greet patients warmly and professionally upon arrival. Check patients in and out accurately and efficiently. Verify patient demographic information, insurance coverage, and eligibility. Collect copays, balances, and other patient payments when applicable. Schedule, reschedule, and confirm patient appointments. Manage incoming phone calls, messages, and patient inquiries. Communicate professionally with patients regarding appointments, paperwork, and general office questions. Prepare and provide superbills and other necessary documentation. Work with electronic medical records ( EMR ) systems to enter, update, and maintain accurate patient information. Practice Fusion experience is a plus. Assist with maintaining accurate patient charts and ensuring required forms and documentation are completed. Process referrals, authorizations, and other administrative paperwork as needed. Assist with insurance-related administrative tasks and communicate with insurance companies when necessary. Maintain organized front-desk operations and ensure the reception area remains professional and welcoming. Assist with coordinating patient flow and communicating with clinical staff. Maintain patient confidentiality and comply with HIPAA and other applicable healthcare privacy requirements. Assist with administrative tasks, scanning, filing, faxing, document management, and other office duties. Communicate effectively with providers and staff regarding scheduling, patient needs, and administrative issues. Assist with Spravato treatment-related administrative and front-office processes , including patient check-in/out, documentation, scheduling, and coordination with the clinical team. Help ensure a smooth and positive patient experience from check-in through check-out. Perform additional administrative duties as needed to support the practice. Qualifications & Skills Previous front desk, receptionist, medical receptionist, or healthcare administrative experience required. Experience in a psychiatric, behavioral health, or mental health clinic is a plus. Experience with Spravato® treatment is a strong plus. Experience working with EMR/EHR systems required. Practice Fusion experience is preferred but not required. Proficiency with Microsoft Office , including: Microsoft Teams Microsoft Word Microsoft Excel Outlook Strong computer and data-entry skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to multitask and prioritize responsibilities in a fast-paced clinical environment. Professional, compassionate, and patient-focused demeanor. Ability to handle sensitive and confidential patient information appropriately. Strong problem-solving skills and the ability to work independently. Reliable, punctual, and dependable. Ability to work effectively as part of a healthcare team. Previous experience with insurance verification, patient payments, scheduling, or medical billing is a plus. The Ideal Candidate The ideal candidate is someone who is professional, dependable, compassionate, and highly organized , with a genuine interest in helping patients feel comfortable and supported. You should be able to confidently manage a busy front desk while maintaining accuracy, professionalism, and a positive attitude. Experience in a mental health or psychiatric setting is highly valued, but we are also interested in candidates who have strong healthcare front-desk experience and are eager to learn.
