Our Receptionist's duties include: Offer administrative support across the organization. You will welcome guests who visit our office and assist those looking to book post-op massages or inquire about our services, as well as provide phone support when needed. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, a Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Schedule:
Monday - Friday, with open availability between 7:30am-8:30pm.
Pay rate:
$1,500/month Responsibilities Greet and welcome guests as soon as they get to the office Be punctual and ensure timely arrival at the office consistently. Direct guests to the right resources pre and post appointment Provide clients with the necessary information to help them book in-office appointments (Keep updated records of appointment log with daily reconciliation) Handle in-office payments efficiently and accurately Provide basic and accurate information in person and via phone/email Update calendars and schedule meetings Maintain office security by following safety procedures and controlling access as needed Manage/order front office supplies and keep inventory of stock Keeping things tidy, cleaning treatment rooms, and any designated area. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing Manage client complaints and handle difficult situations with professionalism. Skills Proven work experience as a Receptionist, Front Office Representative or similar role Proficiency in Google Office Microsoft Excel Skills Hands-on experience with office equipment (e.g. fax machines and printers) Proficiency in using a laptop and other technology. Ability to record and manage video content as needed. Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude High school degree; additional certification in Office Management is a plus Spanish (a plus, but not required).
