Position Summary The Receptionist is the first point of contact for our patients and parents. This role is responsible for creating a warm and professional welcome, managing the daily patient schedule, verifying insurance, coordinating treatment appointments, and supporting smooth office operations. The ideal candidate is positive, reliable, detail-oriented, and enjoys working with children and families. Key Responsibilities Patient Experience & Communication Welcome patients and parents with a friendly, upbeat attitude Answer phone calls promptly and professionally Maintain a clean, organized, and kid-friendly reception area Provide clear communication regarding treatment plans, appointments, and office policies Assist parents with new patient forms, online registration, and consent forms Drop off flyers and business cards at businesses to promote the practice Sweep and Clean the practice Scheduling & Administrative Duties Manage the daily schedule for the dentist and hygiene chairs Confirm appointments, send reminders, and follow up on missed appointments Coordinate patient flow to ensure minimal wait times Scan and upload documents into Open Dental, our Electronic Health Record Maintain patient records accurately and securely (HIPAA compliance) Insurance & Financial Coordination Verify insurance eligibility and benefits (PPO plans) Enter insurance details into Open Dental accurately Estimate patient portions and communicate costs to parents Collect co-pays, deductibles, and outstanding balances Process payments and generate receipts Assist with claim preparation or follow-up as needed Office Operations Assist with daily opening and closing duties Prepare and track referral forms and school/work notes Coordinate with clinical team to ensure smooth patient flow Support marketing efforts (reviews, social media check-ins, flyers) Perform occasional light office tasks (inventory, mail, deliveries) Qualifications Previous dental front desk or medical office experience preferred Knowledge of Open Dental (preferred but not required — training provided) Understanding of insurance verification and basic billing Strong social skills, verbal communication and customer service skills Comfortable working in a pediatric environment and interacting with children Ability to multitask and stay organized in a fast-paced setting Reliable, punctual, and team-oriented Able to speak Spanish fluently
