Medical Receptionist Waco, TX $17.00-$19.00 per hour Full-Time | 4-Day Workweek About Us & This Role At Allergy & Asthma Care of Waco, we are dedicated to delivering exceptional, patient-centered care to individuals suffering from allergies, asthma, and related conditions. Our goal is to help patients lead healthier, more comfortable lives while creating a supportive and collaborative workplace for our team. We are seeking an experienced, dependable, and proactive Medical Receptionist to join our front office team. This role serves as the primary point of contact for patients and visitors and plays a critical role in shaping the patient experience from arrival through check-in and ongoing communication. The ideal candidate is cheerful, welcoming, and genuinely enjoys greeting people and helping patients feel comfortable and appreciated from the moment they walk through our doors. We are looking for someone who naturally creates a warm and positive environment while remaining organized, attentive, and professional in a fast-paced healthcare setting. What You'll DoFront Desk Operations & Patient Check-In
  • Greet patients warmly and professionally upon arrival
  • Create a welcoming and positive first impression for patients and visitors
  • Perform accurate patient check-in and verify demographics and required documentation
  • Collect co-pays, balances, and required payments at time of service
  • Maintain patient flow and communicate delays proactively
  • Keep the front desk environment clean, organized, and welcoming Scheduling & Appointment Management
  • Schedule, reschedule, and confirm patient appointments
  • Confirm next-day appointments daily
  • Contact late or missing patients to support schedule adherence
  • Coordinate scheduling needs with patients and clinical staff Communication & Administrative Coordination
  • Answer incoming calls with professional phone etiquette
  • Route calls appropriately and respond to patient inquiries
  • Manage incoming faxes and administrative communications
  • Send immunotherapy reminder texts daily
  • Monitor and respond to email and EMR correspondence in a timely manner Financial & Documentation Support
  • Collect and document patient payments accurately
  • Assist patients with understanding balances and basic insurance information
  • Scan, file, and maintain accurate patient records
  • Maintain HIPAA compliance and patient confidentiality at all times What Success Looks Like
  • Patients are greeted promptly, warmly, and professionally
  • Patients feel welcomed, valued, and cared for from the moment they arrive
  • Front desk operations remain calm, organized, and efficient during busy periods
  • Appointments are confirmed consistently, reducing no-shows
  • Calls are answered professionally with minimal hold time
  • Patient communication is proactive, timely, and accurate
  • Team members remain engaged, attentive, and responsive to clinic needs throughout the day QualificationsRequired
  • High school diploma or GED
  • Minimum 2 years of medical office or front desk experience
  • Experience using Electronic Medical Records (EMR/EHR) systems
  • Strong organizational skills and attention to detail
  • Excellent customer service and interpersonal communication skills
  • Ability to multitask and remain professional in a fast-paced environment
  • Understanding of HIPAA and patient confidentiality requirements
  • Reliable attendance and strong work ethic Preferred
  • IMS/Meditab experience
