Job Description
Connected Communities is seeking a compassionate, organized, and dependable Medical Receptionist to serve as a welcoming first point of contact for clients and families. The Medical Receptionist supports front-desk operations, answers and routes calls, schedules appointments, assists with client registration, maintains accurate records, and coordinates closely with intake and clinical staff. The ideal candidate communicates professionally, handles sensitive information with discretion, and can stay calm and accurate while managing multiple priorities. Experience in behavioral health, healthcare, or social services is preferred, and bilingual English/Spanish skills are highly desirable. Reception and Client Service Greet clients, families, visitors, and vendors in a professional, courteous, and trauma-informed manner. Answer, screen, and route incoming telephone calls; take accurate messages and respond to routine questions within the scope of the role. Provide reception support for scheduled appointments, walk-in clients, and urgent calls while promptly notifying the appropriate clinical or supervisory staff of urgent concerns. Maintain a welcoming, orderly, and confidential reception area. Communicate appointment, arrival, and waiting-status information to clients and staff while protecting confidential information. Scheduling and Appointment Support Schedule, confirm, reschedule, and cancel client appointments in accordance with established procedures and clinician availability. Coordinate with the Intake Coordinator and clinical staff regarding intake appointments, provider schedules, and case-assignment needs. Monitor daily schedules and notify clinicians of client arrivals, late arrivals, cancellations, and no-shows. Make reminder calls or send approved appointment reminders and document outreach accurately. Assist clients with completing required registration and appointment forms and direct clinical questions to qualified staff. Registration, Records, and Administrative Support Collect, review, and enter required client demographic, contact, insurance, referral, and consent information accurately. Verify that registration and intake documents are complete and route missing or inconsistent information to the appropriate staff member for follow-up. Create and maintain client records in the electronic health record system in accordance with established procedures. Scan, upload, file, and distribute documents accurately and maintain required forms and office supplies. Process routine correspondence, faxes, mail, and record requests in accordance with authorization and confidentiality requirements. Support basic payment collection, receipt preparation, or billing-related administrative tasks when assigned and trained. Maintain logs, reports, and tracking tools related to appointments, referrals, communications, or front-desk activity. Provide clerical support to the Intake Coordinator, clinicians, supervisors, and administrative team as needed.
