Job Description
Job Overview The Ankle and Foot Clinic of Northern Virginia is seeking a dependable, organized, and personable Medical Receptionist / Surgical Coordinator to join our small, patient-focused practice. This position combines traditional medical front-desk responsibilities with patient and surgical coordination. The ideal candidate is warm and professional, communicates confidently with patients, manages multiple priorities, pays close attention to detail, and follows tasks through to completion. Previous medical-office or surgical-scheduling experience is highly preferred, but we are willing to train the right candidate. Responsibilities Medical Reception and Patient Coordination Welcome patients and complete check-in and check-out using the electronic health record Answer incoming calls, respond to patient questions, and document messages accurately in the EHR Schedule, reschedule, and cancel appointments while managing calendar updates and patient flow Collect copays, outstanding balances, and required deposits Obtain and update patient demographic and insurance information Process referrals, medical records, faxes, and incoming documents Scan, organize, and maintain documents within the electronic medical record Assist patients with forms and coordinate documentation for disability and other insurance-related requests Communicate professionally with patients, providers, facilities, and other members of the healthcare team Maintain patient confidentiality and comply with HIPAA requirements Monitor and complete assigned administrative tasks and follow-ups Help maintain an organized, welcoming, and efficient front office Provide excellent patient service by responding promptly to inquiries and helping create a positive experience throughout each visit Surgery Scheduling and Coordination Discuss available surgical dates with patients Coordinate surgery dates with patients, providers, and surgical facilities Provide patients with preoperative instructions and required paperwork Explain medical-clearance and preoperative-testing requirements Track medical clearances, testing results, consent forms, and other required documentation Prepare and submit surgical paperwork to hospitals and outpatient surgical facilities Communicate scheduling changes and outstanding requirements to patients and clinical staff Maintain accurate surgical schedules, records, and follow-up lists Confirm that all required documentation has been received before each scheduled procedure Guide patients through the surgical scheduling process with patience, professionalism, and clear communication Qualifications Excellent verbal and written communication skills Proficiency with Mac computers, electronic health record systems, office software, and typing Strong organizational and time-management skills Careful attention to detail and accuracy Friendly, professional, and compassionate approach to patient service Ability to manage multiple responsibilities in a busy medical office Ability to work independently, take ownership of assigned tasks, and follow through to completion Willingness to learn medical terminology and surgical-scheduling procedures Dependable attendance and punctuality Previous medical-reception or surgical-scheduling experience is highly preferred High school diploma or equivalent required Compensation and Benefits $17-$25 per hour, based on relevant experience Employer-paid health insurance Employer retirement-plan matching Paid federal holidays Two scheduled paid office-closure weeks each year Consistent weekday schedule No nights, weekends, or on-call responsibilities Our Practice We are a privately owned podiatry practice that values excellent patient care, teamwork, reliability, and clear communication.
