Overview Join our dynamic team as a Front Desk Medical Spa Associate, where you will be the welcoming face and organizational hub of our luxurious wellness center. This energetic role combines exceptional customer service with administrative excellence, ensuring every guest feels valued from the moment they walk through the door. You will manage front desk operations, coordinate appointments, and support daily office functions to create a seamless experience for clients and staff alike. Responsibilities Greet clients warmly upon arrival, providing a professional and friendly first impression Manage multi-line phone systems efficiently, directing calls and scheduling appointments with precision Handle appointment bookings, cancellations, and rescheduling using scheduling software and calendar management tools Maintain accurate client records through data entry, filing, and updating electronic health records Assist with office management duties such as inventory control, supply ordering, and maintaining a clean, organized reception area Provide exceptional customer support by answering inquiries about services, pricing, and policies Support administrative tasks including proofreading documents, managing correspondence, and supporting bookkeeping activities with QuickBooks or similar software Skills Proven experience at a front desk or in office management within a medical or spa setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills Excellent phone etiquette and communication skills; bilingual abilities are highly valued for serving diverse clientele Exceptional organizational skills with the ability to multitask efficiently in a busy environment Familiarity with clerical tasks such as filing, proofreading, and calendar management Knowledge of QuickBooks or similar bookkeeping software for basic financial recordkeeping Ability to handle sensitive information discreetly while providing outstanding customer service Prior experience in personal assistant roles or administrative support is advantageous Embark on a rewarding career where your organizational talents and passion for client care make a real difference.
