Job Description
Amber Court of Smithtown is seeking an experienced Medication Supervisor with a strong background in New York State Assisted Living Programs (ALP), Adult Care Facilities, medication management, and NYS Department of Health (DOH) regulatory compliance . This is not an entry-level medication position. The Medication Supervisor will provide hands-on oversight of the community's medication program, supervise and support Medication Technicians, maintain medication-related regulatory compliance, and ensure the department remains prepared for NYS DOH surveys and inspections. The successful candidate must understand the unique requirements of medication management in an assisted living environment and be comfortable identifying deficiencies, implementing corrective action, educating staff, and maintaining continuous survey readiness. Essential Responsibilities Provide daily oversight of the community's medication management and medication assistance program. Supervise, coach, and provide direction to Medication Technicians and other staff involved in medication-related responsibilities. Ensure medication practices comply with applicable NYS Department of Health, Adult Care Facility, Assisted Living Program, community, and regulatory requirements. Maintain continuous readiness for NYS DOH surveys, inspections, audits, and regulatory reviews. Participate directly in DOH surveys and other regulatory inspections as requested. Conduct routine medication cart, medication room, MAR, documentation, storage, and compliance audits. Identify medication-related deficiencies and immediately develop and implement corrective actions in collaboration with community leadership. Assist with responses to survey findings and implementation and monitoring of Plans of Correction when applicable. Monitor corrective actions to ensure identified deficiencies do not recur. Review medication documentation for completeness, accuracy, consistency, and regulatory compliance. Monitor for missed medications, documentation omissions, transcription discrepancies, medication errors, unavailable medications, and other compliance concerns. Ensure medication errors and discrepancies are reported, investigated, documented, and addressed in accordance with established procedures. Oversee medication receipt, storage, security, organization, inventory, refills, renewals, discontinued medications, and disposal procedures. Ensure medications and medication-related supplies are maintained appropriately and medication areas remain clean, organized, secure, and survey-ready. Coordinate with pharmacies and appropriate healthcare providers regarding medication orders, refills, clarifications, changes, and discrepancies. Assist with medication reconciliation following hospitalizations, rehabilitation stays, physician appointments, and changes in resident condition. Ensure new, changed, and discontinued medication orders are processed and communicated promptly. Monitor Medication Technician performance and compliance across shifts. Assist with scheduling and ensuring appropriate medication coverage throughout the community. Orient and train newly hired Medication Technicians regarding community procedures and regulatory expectations. Monitor required medication-related competencies and identify employees requiring retraining or additional education. Provide ongoing coaching and education based on audit findings, medication errors, regulatory changes, or identified performance concerns. Maintain organized medication-related records and documentation necessary for regulatory review. Work closely with the Wellness Director, Executive Director, Case Management, pharmacy, physicians, and other members of the interdisciplinary team. Participate in Quality Improvement activities related to medication management, resident safety, and regulatory compliance. Identify trends in medication errors, missed medications, documentation deficiencies, or staff performance and recommend corrective measures. Maintain resident confidentiality and comply with HIPAA and all applicable privacy requirements. Immediately escalate changes in resident condition, adverse reactions, medication concerns, or clinical issues to the appropriate licensed healthcare professional. Perform other duties as assigned by the Wellness Director or Executive Director. Regulatory and Survey Responsibilities The Medication Supervisor is expected to maintain a strong working knowledge of the regulatory environment governing assisted living operations in New York State.
Responsibilities include:
Maintaining medication operations in a state of continuous DOH survey readiness. Understanding ALP and Adult Care Facility requirements as they relate to medication management and resident services. Conducting internal audits to proactively identify potential deficiencies. Reviewing medication records as a surveyor would and correcting issues before they become regulatory findings. Participating in mock surveys and compliance reviews. Producing requested medication documentation during surveys and inspections. Assisting leadership with responses to identified deficiencies. Supporting development and implementation of Plans of Correction. Educating staff regarding regulatory expectations and identified areas of risk. Monitoring corrective actions to ensure sustained compliance. Required Qualifications Previous experience working in a New York State Assisted Living Program (ALP) or Adult Care Facility is required. Strong knowledge of NYS DOH assisted living requirements and survey processes is required. Previous experience participating in NYS DOH surveys or regulatory inspections is required. Significant medication management experience in assisted living or a comparable senior care environment. Strong knowledge of medication documentation, MARs, medication orders, medication storage, medication safety, and medication-related compliance. Experience conducting medication audits and identifying regulatory deficiencies. Experience implementing corrective actions following audit or survey findings. Previous supervisory, lead, or medication management experience strongly preferred. Strong leadership skills with the ability to coach staff and hold employees accountable for compliance expectations. Exceptional attention to detail and follow-through. Strong organizational and documentation skills. Ability to identify potential compliance concerns before they become larger issues. Ability to manage competing priorities in a fast-paced assisted living environment. Strong communication and problem-solving skills. Must demonstrate professionalism, compassion, sound judgment, and respect when working with residents, families, employees, healthcare providers, pharmacies, regulators, and community leadership. Ideal Candidate Our ideal candidate does not need to be taught the fundamentals of assisted living. You understand ALP operations, medication management, DOH surveys, regulatory compliance, documentation, audits, and the realities of maintaining an assisted living community in a constant state of survey readiness. You know what a surveyor is going to look for, you recognize when something is not compliant, and you take ownership of correcting it. You are comfortable holding staff accountable while also providing the education, coaching, and support they need to succeed. Most importantly, you understand that medication compliance is not simply about passing a survey. It directly impacts the health and safety of our residents. Schedule Full-Time Schedule is based on the operational needs of the community. Flexibility is required to provide oversight across shifts and support survey, compliance, and medication management needs.
