Salary:
$ 38,000- $40,000 Description The Staff Assistant position provides general office and administrative support for the department and contracts and grants within the department. Financial support responsibilities include purchase order requisitions, Peard purchases, setting up vendors, processing invoices and payments for training events, and submitting travel requests and reimbursements. This position also supports the Behavioral Healthcare academic program within the department, faculty searches, and faculty tenure and promotion activities. This position is grant funded and contingent upon the continuation of funding. Responsibilities Initiates Purchase Order Requisitions in Bullmarket system. Processes and verifies P-card charges and purchase requests using appropriate methods. Troubleshoots any problems concerning purchasing, supplier set-up, and payment. Makes deposits to various USF accounts. Invoices outside individuals and organizations using FAST AR module. Makes frequent travel reservations for project-related trips, including flights, accommodations, and transportation. Processes travel reimbursements in Archivum for faculty, staff, consultants, and guests on various training projects and grants within the department. Provides conference/training workshop support by printing, preparing, and organizing event and training materials, ensuring accuracy and timely readiness. Disseminates certificates for training events. Provides clerical support for Behavioral Healthcare major and minor. Assists with mail drop off and pick up. Supports faculty searches and recruitment, including taking minutes of search committee meetings, scheduling interviews, and arranging travel for candidates. Performs other duties as assigned.
Minimum Qualifications:
This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis. Testing may be required to assess competency on word processing software.
Degree Equivalency Clause:
Four years of direct experience for a bachelor's degree.

Preferred Qualifications:
Experience with USF Bullmarket, FAST, and Archivum business systems. Knowledge of USF purchasing and travel guidelines. requirements. and restrictions. Experience with Microsoft Office Suite including Excel. Word. Outlook and PowerPoint
